Head of Contract Management

Location: Home-based with frequent travel throughout the UK and Ireland.

Salary: Up to £70,000 plus £350 monthly car allowance

Contract Type: Permanent

Hours: 37.5 hours per week, Monday to Friday

Right to live and work in the UK is required for this role.

Role Summary

As Head of Contract Management, you will lead the contract management function, overseeing the full contract lifecycle from negotiation and implementation through to renewal and performance management. You will ensure contracts support Optima Health's commercial objectives, minimise risk, and deliver value for both the business and our clients.

You will also provide leadership to the Contract Management team and, for key strategic accounts, build strong client relationships to support retention, service excellence, and business growth.

Responsibilities

Main Duties and Responsibilities

  • Contract Drafting & Negotiation:

    • Prepare, review, and negotiate contracts ensuring terms align with legal requirements and business objectives.
    • Lead all negotiations on pricing, service credits, and variations during implementation and renewal.
  • Risk & Compliance Management:

    • Proactively identify contractual risks and implement mitigation strategies.
    • Ensure all contractual obligations are met by both parties and that Optima Health adheres to relevant legal and regulatory requirements.
  • Commercial Management:

    • Maximise uptake of products and services, negotiate contract variations to expand scope, and take remedial action where volumes fall short.
    • Oversee timely purchase order management, support resolution of aged debt, and advise on commercial options where payment is delayed.
  • Invoicing & Revenue Integrity:

    • Establish correct invoicing processes during client onboarding.
    • Ensure pricing changes (including indexation) are accurately implemented.
    • Conduct regular governance audits to prevent revenue leakage.
  • Service Credits & KPI Management:

    • Calculate service credits using operational and MI data.
    • Take responsibility for negotiating credit payments or remedial actions required to meet KPI targets.
  • Dispute Resolution:

    • Serve as the primary point of contact for contractual disputes, working toward timely and effective resolution.
  • Strategic Client Engagement:

    • For key strategic accounts, identify decision-makers and influencers.
    • Create opportunities for senior engagement.
    • Coordinate Optima Health stakeholders to strengthen partnerships and support retention and growth.

  • Client Relations & Reporting:

    • Maintain strong relationships with clients, vendors, and internal stakeholders.
    • Maintain accurate contract records and generate internal and external reports as required.
  • Team Leadership:

    • Provide functional leadership to the contract management team.
    • Set objectives, hold direct reports accountable for their contracts.
    • Support professional development and drive continuous improvement.
  • Process Improvement:

    • Lead the ongoing development of contract management processes and systems to improve consistency, efficiency, and effectiveness across the team.

Experience, Skills, And Knowledge Required For The Role

  • Contract Law: Strong understanding of contract law with proven ability to draft and negotiate contracts.
  • Negotiation: Demonstrable negotiation skills with the ability to adapt your style to persuade and secure buy-in from a wide range of stakeholders.
  • Commercial Acumen: Clear commercial instincts, including the ability to assess the financial impact of contracts through cost-benefit analysis, margin improvement, and profitability considerations.
  • Sector Knowledge: Good understanding of the occupational health and wellbeing sector, including relevant policy, legislation, and guidance.
  • Client Collaboration: Experience working with clients to achieve performance-driven ROI goals.
  • Data & Insight: Ability to analyse, interpret, and present data to varied audiences at the appropriate level of detail.
  • Communication: Excellent written and verbal communication skills, including strong presentation abilities.
  • Background: Experience in contract management, legal, or a closely related commercial role; graduate-level education or equivalent.
