About the Role

As Head of Operations, you will be responsible for keeping GenHQ running and growing smoothly, allowing:

  • The Founder and CEO to focus entirely on content creation and business development.
  • The Chief of Staff to focus on strategic oversight rather than daily execution.

This is a highly autonomous, executive role designed for someone who:

  • Thrives in a fast-moving, structured environment – methodically executes tasks, tracks progress, and communicates clearly.
  • Understands business operations, finance, and legal processes, with experience in startups or fast-growth companies.
  • Brings calm and order to chaos, enabling efficient operations without micromanagement.

Your core function: safeguarding the CEO’s time by handling operational tasks — breaking administrative bottlenecks, delivering approvals efficiently, and delegating obligations that don’t belong to leadership.


Key Responsibilities

1. Company Infrastructure & Compliance

  • Own the company’s operational task list, including tracking and reporting outstanding business needs.
  • Ensure legal and compliance obligations are met, including:
    • Companies House filings
    • NDA tracking and management
    • Standardising employment contracts
  • Support the development and administration of the share option scheme in partnership with finance and legal roles.
  • Oversee EOR (Employer of Record) arrangements for our international hires.
  • Ensure data protection and GDPR compliance across operations.

2. Hiring & Talent

  • Oversee entire hiring lifecycle, from sourcing right through to offer and onboarding.
  • Build and present structured candidate shortlists for internal decision-makers (with summary briefings).
  • Collaborate with the Financial Controller to coordinate contracts and onboarding.

3. Finance Operations

  • Work alongside the Financial Controller and department heads to ensure accurate financial tracking, budget discipline, and spend visibility.
  • Act as primary point of contact for day-to-day finance matters, preventing the Financial Controller from being tied up in repetitive tasks.
  • Flag financial anomalies early, contributing to proactive risk mitigation.

4. Team Accountability & Reporting

  • Implement a weekly operational reporting system across all major teams:
    • Editing team
    • Community management
    • Finance
    • Marketplace operations
  • Create streamlined CEO updates by summarizing one top-line percentilation per week rather than scattered messages.
  • Hold individual team members accountable to their goals and escalate unresolved issues promptly.
  • Standardise meeting structures, ensuring completion of clear agendas with shared objectives.
  • Introduce and maintain structured objective tracking (OKRs/equivalent), ensuring operational alignment and goal clarity across teams.

5. New Business Support

  • Assist in developing and launching current new business ventures.
  • Coordinate between technical, design, and business teams, managing cross-functional dependencies without direct supervision.
  • Work with Finance and Legal to determine the financial and legal framework for new entities.
  • Own operational dependencies, including:
    • Company and entity formation
    • *Supplier contracts & banking
    • NDAs and projecct-specific agreements

Job Requirements

Essential

  • 3–7 years of operational experience, preferably in startups or fast-growth media/AI environments.
  • Chief of Staff, COO, or operations-focused expertise with demonstrated leadership.
  • Strong project management skills, capable of clearly tracking, prioritising, and reporting on tasks.
  • In-depth knowledge of UK company law, employment law, and basic financial operations.
  • Prior experience working with external legal, finance, and HR providers.
  • Proven experience running end-to-end hiring processes, from application to offer and onboarding.
  • Under pressure, the ideal candidate is structured, organised and highly methodical.
  • Laid-backanas or executive-level communication skills (written and verbal).
  • Validations that will allow a commute to London since the role starts remote but plans to transition to hybrid.

Highly Desirable

  • Prior experience within the creator economy, media, or content space.
  • Proficiency with tools like:
    • Monday.com (or similar)
    • Xero (accounting software)
    • Slack (for team collaboration)
    • Notion (for documentation & OOVs)
    • Google Workspace (suite)
  • Experience with Employer of Record (EOR) setups and international contractor management.
  • Basic understanding of AI business impacts or genuine enthusiasm for the AI industry.
  • A track record of supporting founders in high-growth, mission-driven environments.
