Health Records Administrative Assistant

We are recruiting for a Health Records Administrative Assistant who shares our vision to provide consistently outstanding care and exemplary service to our patients.

This is a key role supporting the safe management and digitisation of patient records across the Trust. You will be responsible for:

  • Tracking of paper health records using the iFIT system
  • Ensuring records are accurately prepared to meet the required standards for scanning into the Trust’s Electronic Document Management System (EDMS)

This includes:

  • Removing fasteners from records
  • Repairing documents as needed
  • Checking identifiers for accuracy
  • Ensuring all records meet scanning standards

This role requires:

  • Accuracy and meticulous attention to detail
  • Strong organisational skills to manage record workflows
  • A strict commitment to confidentiality when handling sensitive patient data

Key Responsibilities

Records Tracking & Organisation

  • Track patient health records using the iFIT system, ensuring accurate records of all movements and activities.
  • Respond to clinical and administrative requests for records with promptness and professionalism.
  • Assist with picking, filing, and re-shelving records in a logical and orderly manner.
  • Maintain accurate record-keeping, highlighting discrepancies, missing files, or misfiled documentation to the supervisor.

Preparation for Scanning & Collaboration

  • Collaborate with the Scanning Bureau team to ensure timely processing of records for upload to the EDMS.
  • Work with teams to accelerate digitisation while maintaining high accuracy standards.
