Location: Dublin Furry Park

Working Hours: Monday to Friday, 08.00-16.30, 37.5 hours per week

At DSV, your work keeps the world moving. In this role, you support the systems, coordination, and accuracy behind safe and reliable operations across our network. You help ensure that the right documentation, processes, and communication are always in place — so our teams can deliver with confidence. You play a key role in keeping Health & Safety processes running smoothly across multiple teams, sites, and stakeholders.

What will you be doing?

  • Monitor the H&S mailbox and coordinate daily activity, including site surveys (SS) and RAMS requests
  • Plan and schedule site surveys, aligning with contractors and clients
  • Review, proof, and format site survey documentation, ensuring accuracy and clarity
  • Organise SS and RAMS documentation, ensuring correct prioritisation and review processes
  • Maintain systems (Smartsheet, SharePoint) to ensure documentation is up to date and accessible
  • Track expiration dates of SS/RAMS and ensure timely updates to avoid operational disruption
  • Support weekly subcontractor calls, setting priorities and following up on documentation deadlines
  • Manage certificates via client portals, ensuring proper storage and review workflows
  • Maintain accurate billing records for H&S-related activities and associated costs
  • Support SOP creation, formatting, and updates across surveys, audits and operational procedures
  • Assist with H&S audits (internal & external) through report drafting and template management
  • Contribute to monthly H&S alignment meetings across teams and regions
  • Collaborate closely with planning teams to ensure documentation readiness for operations
  • Deliver training on site survey processes and documentation standards
  • Support operational H&S processes such as YB applications, audits, and site inductions
  • Manage calendars and coordinate H&S meetings and schedules

About You

  • Strong organisational skills and attention to detail
  • Ability to manage multiple priorities and deadlines
  • Clear communication skills — written and verbal
  • Confidence working with documentation, systems, and processes
  • Experience with administrative or coordination tasks (H&S experience is a plus)
  • Proactive mindset with a focus on accuracy and follow-through
  • Comfortable working across teams and stakeholders in a fast-paced environment
