Health and Safety Executive – HSW Information & Support Coordinator Location: Leeds

About the Role

At the Health and Safety Executive (HSE), we foster a work environment where health, safety, and wellbeing (HSW) are priorities. We launched an improvement programme to enhance leadership, systems, and processes in this area, aligning with our People Plan and strategic goals.

We seek an HSW Information & Support Coordinator to join the Health, Safety and Wellbeing Team. This administrative and data-focused role ensures the efficiency of HSW systems, reporting, and contract activities. You will support senior stakeholders while maintaining Information Systems (IS) and data integrity.


Key Responsibilities

  • Administrative & Coordination Support:

    • Manage the shared HSW inbox, respond to queries, and coordinate work requests.
    • Collaborate effectively with the HSW Service & Contract Manager and HSW team.
  • Data & System Maintenance:

    • Maintain well-structured, up-to-date data in SharePoint and other systems.
    • Ensure data accuracy, organisation, and secure storage.
  • Report Preparation:

    • Collect, verify, and update HSW and supplier performance data.
    • Assist in preparing regular benchmarking reports and compliance submissions.
  • Contract & Compliance:

    • Process supplier information and ensure routine reporting requirements comply with HSE standards.
  • Support Governance:

    • Prepare meeting materials, record peer review actions, and maintain documentation.
  • Audit Assistance:

    • Gather required information and documentation during audit and compliance checks.

Requirements & Skills

Essential Criteria

  • Administrative Experience: Proven in an office environment, handling coordination, record-keeping, or business support.
  • Data & Record Management: Skilled in organising, maintaining, and ensuring data accuracy.
  • Organisational Abilities: Strong prioritisation skills to manage routine and high-priority tasks.
  • Communication: Excellent collaborative and stakeholder communication (written and verbal).
  • Microsoft Office: Technical proficiency in Excel, SharePoint, and Word.
  • Attention to Detail: Methodical approach to ensuring high-quality output and accuracy.

Desirable Qualities

  • Familiarity with health, safety, or wellbeing standards (HSW, ISO 45001).
  • Experience with contract management processes or compliance audits.

Hybrid Working Arrangements

We offer flexible hybrid working (with office-based activities). The role requires:

  • 60% in-office attendance for collaborative work.
  • Travelling to the office are required for induction, training, and key projects.
