Job Overview
Provide comprehensive secretarial, clerical, and administrative support to the Blood Sciences Site Manager (BSSM) West, the wider Blood Sciences management team West, and the Blood Science team in YG, including the Senior Scientists, Transfusion Practitioner, and Phlebotomy Team. Ensure efficient and effective liaison between internal departments and external agencies, including BCU and NWSSP services, including Workforce and Organisational Development (WOD), Recruitment, Payroll, and Occupational Health.
The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.
Main Duties of the Job
- We are seeking to hire a part-time Senior Blood Sciences Administrator within the Managed Clinical Services Directorate, North Wales.
- The postholder will be based at Ysbyty Gwynedd and will also provide services to sites managed by the West team.
- The postholder is expected to work closely with the Blood Sciences Site Lead and the senior BMS and supervisors to help deliver an effective service.
- Provide support to the Blood Sciences Team to ensure robust systems/processes are developed and maintained for effective control of service documents, including staff files, ESR, oracle ordering system, E-roster, and payroll forms.
- Ensure BI processes are followed and the information kept is accurate, timely, organized, and accessible, and stored confidentially within the department.
- The role includes cross-site management of incoming invoices for referral requests.

Detailed Job Description and Main Responsibilities
- Administer a variety of meetings with/on behalf of the BSSM and the Blood Science department, including preparation of agendas, minutes, and appropriate follow-up action.
- Act as administrator for the SERVICE. A comprehensive knowledge of the full range of organisational and administrative procedures is essential as are advanced level IT skills.
- Gather information, undertake enquiries, progress-chase, and carry out projects on behalf of the BSSM.
- In the absence of the BSSM, take judgement/initiative to provide a first-line response to ad hoc issues, take necessary action, or forward to other managers in the SERVICE as appropriate.
- Daily point of contact for the staff workforce and contractual enquiries ensuring any issues are handled appropriately or passed onto the BSSM or Senior BMS when necessary.
- Support the review, processing, and escalation of invoices into the service.
- Excellent communication and organisational skills are an essential requirement as is the ability to liaise with staff at all levels and contribute to the effective and efficient running of Department/SERVICE.
- Responsible for checking and reconciling incoming invoices.
