HR Administrator
HR Administrator The operational backbone of the Flatpay UK People team
This is a high-volume, detail-critical role with onboarding at its core. You’ll coordinate up to 100 new starters each month, handling everything from logistics and accommodation to HRIS setup and contract administration. Ideal for someone who thrives in a fast-paced, scaling environment and takes pride in accurate execution.
What you’ll do
Onboarding Coordination
- Manage end-to-end onboarding for up to 100 new starters/month, including:
- Accommodation, catering, and travel arrangement coordination for multi-day cohort programmes
- Pre-day-one setup—create and verify new starter profiles in Personio, ensuring accuracy, completeness, and compliance
- Document collection & verification (right-to-work checks, signed contracts, and new hire forms)
- Day-of point of contact for new cohorts to ensure a seamless, professional first-day experience
HR Administration & Records
- Maintain HRIS (Personio) across the full employee lifecycle:
- Keep records up-to-date for onboarding, role changes, promotions, salary adjustments, and transfers
- Draft and issue contract variation letters with same-day HRIS updates upon confirmation
- Process leavers efficiently, coordinating with payroll for final pay and completing offboarding steps
- Ensure compliance at every stage while balancing high-volume admin demands

First-Line Employee Queries
- First point of contact for standard employee inquiries:
- Annually leave, sickness reporting, expenses, and working hours (guided by the Employee Handbook)
- Provide clear, consistent, and professional responses
- Escalation protocol:
- Route complex/sensitive queries to HR Advisor or Head of HR immediately—do not resolve out of scope
- Maintain role-appropriate communication standards
General HR Operations
- Support the team with admin tasks across the employee lifecycle (filing, correspondence, system updates)
- Track progress (onboarding timelines, administrative docs, people data) with full accuracy & currency
- Enable a People function that operates efficiently at a fast-growth pace

- Exceptionally organised & detail-oriented—comfortably handling high volumes with competing priorities
- Clear communicator (written/verbal) who delivers accurate, policy-aligned answers safely and professionally
- Deadline-driven—thrives in high-growth, fast-paced environments
- Adaptable & proactive—solves issues independently while knowing when to escalate

Experience & Requirements
- 1–2 years of administrative experience in a fast-paced environment (HR background a plus, not essential)
- Demonstrable high-volume/accuracy-testing ability—provide examples of managing time-sensitive, multi-task loads
- Fluent tech user—HRIS comfort (e.g. Personio, HiBob) is advantageous but teachable
- Full right to work in the UK (visa sponsorship unavailable)
