About the Role
The HR Administrator is the operational backbone of the Flatpay UK People team. This is a high-volume, detail-critical role with onboarding at its core—coordinating up to 100 new starters each month, from logistics and accommodation through to HRIS setup and contract administration.
You will work closely with the Head of HR and HR Advisor, executing the day-to-day administration that ensures the People function remains accurate and efficient. This role suits someone who takes pride in getting details right, manages competing priorities without errors, and understands that clean HR admin is the foundation for everything else.
What You’ll Do
Onboarding Coordination
- Coordinate end-to-end onboarding logistics (up to 100 new starters per month), including:
- Accommodation booking
- Catering and travel arrangements for multi-day cohort programmes
- Creates and configures new starter profiles on Personio ahead of day one, ensuring 100% accuracy, completeness, and compliance.
- Collects and verifies pre-employment documentation (right to work, signed contracts, new hire details).
- Act as the on-site contact for new cohorts, ensuring a speedy, organised, and welcoming first-day experience.
HR Administration & Records
- Maintains accurate, up-to-date employee records in Personio throughout the full employee lifecycle (contract issuance to offboarding).
- Drafts and issues varying contract letters for promotions, salary adjustments, role changes, and department transfers:
- Ensures HRIS updates align with confirmed changes on the same day.
- Processes leavers in Personio, coordinating with payroll for accurate final pay and completing all offboarding steps in a timely manner.

First-Line Employee Queries
- First point of contact for standard employee inquiries, such as:
- Annual leave
- Sickness reporting
- Expenses
- Working hours
- Provides clear, professional, and accurate responses based on the Employee Handbook; escalates complex, sensitive, or ER-related issues to the HR Advisor or Head of HR immediately.
- Maintains a consistent, helpful, and professional communication tone with all employees.
General HR Operations
- Supports the team with administrative tasks across the employee lifecycle, including filing, correspondence, and system updates.
- Keeps onboarding trackers, documentation, and data accurately updated at all times.
- Contributes to a high-performance, scalable HR team that supports business growth efficiently.
Who You Are
Key Traits
- Exceptionally organised with an impeccable attention to detail—able to manage high-volume tasks without errors.
- A clear communicator (both written and verbal) who delivers straightforward, professional answers to employees on policies and processes.
- Comfortable working under tight deadlines in a fast-moving, high-growth environment.
Background & Requirements
- 1–2 years of administrative experience in a fast-paced environment; HR experience is a plus but not essential.
- Strong proof of being highly organised and detail-focused—provide examples of handling high-volume, time-sensitive tasks accurately.
- Confident using systems and technology; prior HRIS experience (Personio, HiBob, etc.) is desirable but not mandatory.
- Right to work in the UK—no visa sponsorship available.
