HR Co-ordinator

HR Administrator (Maternity Cover) – Permanent Role

Reports To: HR Adviser

Location: Elland, Halifax

Contract Type:

Initially permanent maternity cover within the HR team. Following the maternity leave, redeployment to an alternative role within the business in line with business needs and candidate's skills/experience.


Purpose of the Role

Provide proactive HR Administration support in compliance with company policies, quality standards, and legislation, including:

  • Supporting recruitment, selection, and onboarding of new employees
  • Collaborating with the Internal Recruitment Consultant, hiring managers, and external agencies to attract and select the best talent
  • Guiding employees and managers on company policies
  • Ensuring effective employee engagement, training, and development
  • Providing reception cover (lunch hours and holidays) as the first point of contact for visitors and callers

Responsibilities

Recruitment & Onboarding

  • Assist in the recruitment process: advertising roles, shortlisting candidates, scheduling interviews and assessments
  • Oversee onboarding of new starters, ensuring:
    • Pre-employment checks are completed accurately and on time
    • smooth integration into the organisation

HR Administration & Records Management

  • Maintain accurate employee records (databases, personnel files, third-party contacts etc.)
  • Support the design and delivery of internal induction processes
  • Record and track:
    • Holidays (ensuring compliance with agreements)
    • Employee absenteeism, facilitating trueReturn to work discussions
    • Annual appraisals and training development plans

Employee & Manager Support

  • Assist with all day-to-day HR queries for both management and employees
  • Provide advice, guidance, and support in line with company policies
  • Help develop and update HR policies:
    • Contribute to policy documentation.
    • Ensure policy implementation.

Communication & Engagement

  • Prepare internal communications (emails, posters, newsletters, etc.)
  • Deliver the communications charter (cascade of appraisals & career development updates).
  • Represent a positive and professional business image in dealings with colleagues and visitors.

Reception & First Contact Role

  • Field ingoing calls on a computer-based switchboard during lunch breaks and holidays.
  • Handle onsite visitors professionally and efficiently, providing clear direction and assistance.

Organisational Leadership & Training

  • Encourage behaviours that support company values, fostering an environment of mutual trust and respect.
  • Undertake additional duties as required, consistent with role level.

Critical Skills Required

  • Strong written and verbal communications – able to interact effectively at all organisational levels (managers, employees and external partners).
  • Interpersonal skills – build and maintain strong relationships (work collaboration, conflict resolution).
  • Independent organisation – manage self-generated workload, prioritise tasks and meet deadlines.
  • Attention to detail – accuracy with documentation and compliance processes.
  • Adaptability – work under pressure and meet tight deadlines.
  • Proactivity – self-motivated to research improvements and challenge the status quo in support of efficiency.

Critical Knowledge & Experience Required

Experience

  • Fast-paced HR environment – preferably with:
    • Recruitment/selection support.
    • Onboarding processes.
    • HR general administration.

Technical Skills

  • Advanced proficiency in Microsoft Office:
    • Outlook (email & calendar management).
    • Word (document drafting & editing).
    • Excel (data management, reporting tools).
    • Teams (collaboration tools).
  • Intermediate knowledge of PowerPoint (for internal presentations and creative outputs).

  • Ability to be confident and approachable, forming a first impression as the company’s face both externally and internally.
  • Commitment to uphold company values as a role model for employees.
