An entrepreneurial and growing specialty firm in insurance and reinsurance.

The Role

The HR Coordinator will provide proactive administration and coordination support across the full employee lifecycle for a small, international insurance business.

The HR Coordinator will report to the HR Officer and work closely with the wider HR Team. The role helps ensure HR activity is well-organized, accurate, compliant, and delivered with a positive employee experience.

Responsibilities

  • Act as the first point of contact for day-to-day HR queries, responding to routine questions and escalating matters where appropriate.
  • Monitor and maintain the HR inbox, trackers, and shared HR records to support timely follow-up and strong team coordination.
  • Prepare standard HR documentation, including employment letters, contract variation letters, references, and leaver documentation.
  • Maintain accurate employee records, organization charts, and HR files, ensuring confidentiality and appropriate document control.
  • Coordinate recruitment administration, including interview scheduling, candidate communications, and recruitment tracking.
  • Prepare offer letters, contracts, and new starter paperwork.
  • Coordinate pre-employment checks, background screening, and right-to-work documentation.
  • Support the monthly payroll process, liaise with payroll and benefits providers as required, under the guidance of the HR Officer and wider HR team.
  • Coordinate HR-led learning activity, mandatory training, and course administration and assist with employee engagement, wellbeing, and culture initiatives.
  • Maintain process trackers and ensure follow-up actions are logged and progressed. Escalate employee relations issues promptly to the HR Officer or relevant HR team member.
  • Maintain HR systems and employee databases, ensuring records are accurate, complete, and up to date.
  • Provide coordination support for HR projects, process improvements, and team priorities.

  • 1-2 years previous experience in a HR administrative or junior HR Operations role. Will also consider someone who has worked in another area of Insurance / Business Administration and would be keen to move into HR as a career.
  • Experience working with confidential information and maintaining accurate records.
  • Comfortable supporting multiple priorities, stakeholders, and deadlines in a small team environment.
  • Experience with HR systems, payroll, benefits, or recruitment administration would be advantageous.
  • Good working knowledge of Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint.
  • An interest in HR best practice, employment processes, and developing within the HR profession.
