Higher Executive Assistant (HR Support) – Powerday

The Role

Reporting to the Head of HR and People, this position supports our People Agenda—driving business success through People Operations, asset acquisition and;

  • Implementing HR best practice while ensuring alignment with our company values.
  • Leading innovative projects to attract, engage, and retain candidates.
  • Providing quality HR administration and general support.

Key Responsibilities

HR General Administration

  • Manage all new starter documents (offers, contracts, right to work/visa checks, references, probationary reviews, contractual changes).
  • Support family-friendly policies and exit processes.
  • Maintain employee personnel files and digital HR system accuracy.

Induction & Onboarding

  • Oversee the HR induction programme.

Time & Attendance Administration

  • Update ACUTEC (our in-house clocking system) with starters, leavers, and work hours data.

Operational & HR-related Support

  • Assist with:
    • Sickness absence management
    • Probationary reviews and adjustments
    • Medical referrals, workplace accommodations, and return-to-work meetings
    • Minutes-taking for:
      • Disciplinary/capacity hearings
      • Grievance proceedings
      • Head of HR meetings

Recruitment Support

  • Post job ads, screen candidates, arrange interviews, and provide feedback.
  • Maintain the Job Description library and update job roles in Powerday’s standardised, version-controlled format.

Employee Engagement & Learning

  • Lead bi-annual employee engagement initiatives (external/internal measures).
  • Administer Powerday Academy:
    • Training schedules
    • Apprenticeship/work experience placements
    • Leadership development paths
    • Certificate issuance and appraisal process support.

Operational Data Management

  • Calculate monthly Head Office clock-in averages.

Miscellaneous

  • Aid team members/promotions in rolling out the appraisal process.

Key Competencies

  • Extensive HR Administration / People Operations experience (especially in multi-site organisations).
  • Deep knowledge of HR processes and reporting (CIPD Level 3 or equivalent highly preferred).
  • Proficient with HRIS (HR information systems), reports using tools like MS Excel/PowerPoint, and digital platforms.
  • MS Office (Word, Excel, PPT) + Outlook usage (intermediate to advanced).
  • Natural ability to be a team player, proactive, and solution-focused.
  • Empathy, discretion, and impeccable confidentiality standards.
  • Strong interpersonal skills (clear written/verbal communication).
  • Adaptability and calm under pressure with a priority-based mindset.
  • Exceptional organisational skills and attention to detail.
  • Willingness to travel to Powerday’s sites on an ad-hoc basis.

Qualifications & Experience

  • CIPD Level 3 (or equivalent qualification) essential.
  • Demonstrated experience in HR Administration, preferably in a multi-site environment.
