HS2 Project Coordinator
Be Part of One of the UK's Largest Infrastructure Projects
Heidelberg Materials UK is seeking a proactive and highly organised HS2 Project Coordinator to join our successful national commercial team. This is a unique opportunity to play a key role in the delivery of the HS2 project, supporting the supply of essential construction materials and services across one of the most significant rail infrastructure programmes in the UK.
Working within a specialist team with a proven track record on major projects including Hinkley Point, Crossrail, and Thames Tideway, you will help ensure exceptional customer service, efficient logistics planning, accurate order processing, and effective project support.

The Opportunity
As an HS2 Project Coordinator, you will provide administrative, planning, sales, and distribution support to the HS2 business function. You'll be responsible for ensuring customer requirements are met professionally, efficiently, and cost-effectively while maintaining the highest service standards.
This role offers the chance to work at the heart of a nationally important project, collaborating with customers, site teams, transport providers, and internal stakeholders to ensure successful project delivery.
Key Responsibilities
- Customer Service & Order Management
- Manage customer enquiries via telephone and email efficiently and professionally.
- Build strong customer relationships through regular contact and proactive communication.
- Process customer orders accurately within SAP Order Management.
- Create, amend, and confirm customer orders while ensuring all information is correctly recorded.
- Follow pre-invoice procedures to minimise pricing queries and billing issues.
- Investigate, resolve, and prevent customer queries wherever possible.
- Deliver an exceptional customer experience through accurate quoting, on-time delivery, and correct invoicing.
- Escalate potential service issues quickly and maintain clear communication with customers.

Planning & Logistics Coordination
- Coordinate the allocation and distribution of vehicles across HS2 sites.
- Monitor transport operations to ensure customer delivery requirements are met.
- Work closely with site teams, weighbridge staff, and regional coordinators to optimise vehicle utilisation.
- Ensure sufficient haulage resources are available to meet operational demand.
- Maintain strong working relationships with drivers, hauliers, and service providers.
- Monitor vehicle availability and performance throughout the day.
- Manage hired vehicle costs and ensure compliance with purchasing processes.
- Generate and analyse reports to identify logistics improvements and efficiencies.

Commercial & Administrative Support
- Process all administrative tasks accurately and within deadlines.
- Follow up customer quotations and support ongoing project opportunities.
- Maintain and update commercial trackers and sales opportunities.
- Support new business lead generation and development activities.
- Liaise with regional teams to ensure product availability and stock requirements are met.
- Manage customer and haulier complaints through company systems, ensuring corrective actions are implemented.
- Provide support across the wider team and cover other functions when required.
What We're Looking For
Essential Skills & Experience
- Excellent communication and relationship-building skills.
- Previous planning, logistics, or coordination experience.
- Confident and professional telephone manner.
- Highly motivated, proactive, and organised approach.
- Experience within a customer service, sales, operations, or transport environment.
- Strong administrative and multitasking abilities.
- GCSE Grade C (or equivalent) in Maths and English.
- Proficiency in Microsoft Office applications.
Desirable Experience
- Knowledge of the construction industry and construction materials.
- Understanding of local and national geography.
- Experience using SAP for sales and order management.
- Experience with SynchroTESS or similar logistics planning systems.
- Experience working within a large corporate environment.
- Track record of working towards and achieving performance targets.
