Administrative Office Support Officer (HSE & Technical – 28,000 – 32,000 GBP)

The Role: Administrative and Office Support for HSE & Technical Directors

This position provides crucial administrative backing to the HSE Director and Technical Directors, enabling them to focus on strategic delivery with reduced operational burden.

Key Focus Areas:

  • Support to the HSE Director:

    • Manage general administration, reporting, training, and event planning.
  • Support to the Technical Directors:

    • Handle administrative tasks, technical reporting, system updates, and compliance documentation.

Job Responsibilities

📝 HSE Support

  • General Clerical and Document Management:

    • Charge assessments, incident tracking, and action reviews.
    • Maintain registers for D&A testing, disciplinary records, and temporary work teams.
    • Coordinate training arrangements and internal communications.
  • Logistical Coordination:

    • Book meeting venues, accomodation, travel, and event hospitality.
    • Organise catering and attendances for meetings, conferences, and offsite activities.
  • Data and Reporting:

    • Assist in producing monthly HSE reports, reviewing storage systems, and updating team structures on IMS (Integrated Management System).
    • Oversee statistical databases for enforcing authority visits, RIDDOR incidents, and safety analyses.

  • Training and Events Management:

    • Support the organisation of larger events and workshops.
    • Send out invites, arrange venue bookings, catering, and delegate chase-ups.
  • Safety Improvement Initiatives:

    • Monitor incidents for completion and documentation.
    • Chair Incident Review Board meetings and draft communication summaries for stakeholders.

🏗 Technical Support

  • Administrative Backing:

    • Maintain IMS documentation, collect site reports, and support tender efforts (including FRIs).
    • Assistance with consultancy contracts and new MEP propositions.
  • Travel and Logistics:

    • Arrange accommodation and travel for extension site visits.
  • Reporting and Compliance:

    • Compile monthly data on risk assessments, design reviews, and change control status.
    • Review workshops/isk libraries and databases of standards used.
  • CPD Committee Collaboration:

    • Coordinate CPD events for HSE/technical teams, including training bookings, invites, and collateral management.
    • Organise communications with CPD providers and maintain attendance records.
  • IMS and Documentation Management:

    • Update and visualise IMS workflows using VISIO.
    • Schedule meetings, record notes, and push reminders for documentation deadlines.
    • Draft and edit standard templates for letters and handover documents.
  • PQQ (Pre-Qualification Questionnaire) Coordination:

    • Distribute and compile required tender documentation and populate SharePoint.
    • Update the consultant register in line with proposals submitted.
  • Project Handover Documentation:

    • Collate handover materials for projects, including O&M manuals, drawings, and certification.
    • Ensure complete formatting and flag any missing items to avoid delays.
  • Tracker and Reporting Support:

    • Update and maintain project documentation trackers.
    • Provide progress updates and status reports to relevant managers.

Job Requirements

Experience & Qualifications

✔ Previous administrative experience (construction sector preferable). ✔ Computer literacy for Microsoft Office and VISIO.

✔ Simultaneous HSE & technical support experience advantageous but not mandatory.

Salary and Benefits

Salary Range: £28,000 - £32,000 per annum
