Job Summary

The HSWE Administrator supports the HSWE team by providing reliable administration function to help ensure the smooth day-to-day running of the team and the overall programme.

Reporting

Key Responsibilities:

Daily, weekly & monthly reporting Client reporting Contractors reporting (if required) Team holiday, sickness monitoring/ approval via multiple spreadsheets

Manage All Relevant Systems Administration Including

Set-up new starters on systems Remove leavers from the systems Coordinate the required systems training for users Update HSWE Dashboards

General Administration

Document formatting Monitoring HSWE and Project email accounts Producing and formatting Excel spreadsheets General ad-hoc duties using MS Forms, Excel, Word & Power Point Working closely with HR & finance to organise Dragados Health, safety, and wellbeing training across the entire project. Organise Leadership tours and schedule/monitorHSWE Inspections Liaise with on-site nurse and Occupational Health partners for wellbeing and occupational health campaigns Update daily, weekly, monthly spreadsheets Monitor HSWE systems for outstanding actions, observations and inspections Troubleshooting project systems, liaise with document control and IT department if necessary Working with procurement to raise and mange requisitions Updating/ monitoring strategy Working with finance to create and monitor team budget Expenses for Team activities or meetings, not general personal expenses Helping drive/ initiate HSWE campaigns Organising team/ department events/ workshops

Proactively Assist The Team With Meeting Administration Including

Booking meeting rooms Creating meeting agendas Regular Minute taking Co-ordinating workshops and sub-contractor meetings and collating & distributing packs

Technical Skills And Competencies

Ability to use office software, such as word, excel, etc. Power BI desirable Able to work collaboratively as part of the HSWE Team and Project Team Organised with a strong attention to detail Experience in internal customer focused roles Willing and able to act under own initiative Actively support, promote and live the Dragados S4S HSWE values
