HTB EA to the Associate Vicar
Contract Executive Assistant – Associate Vicar, HTB
About the Role
The key purpose of this role is to act as the right hand to the Associate Vicar, while also serving as an Executive Assistant and key project lead.

Salary range: £30,000 – £40,000 (dependent on experience).
Duties & Responsibilities
1. Executive Support, Diary Management & General Administration
- Manage the Associate Vicar’s (AV) inbox, correspondence, and enquiries:
- Ensure timely, appropriate responses
- Draft high-volume emails, reports, letters, presentations, and other communications on behalf of the AV
- Proactively manage:
- AV’s diary, appointments, meetings, and key church calendar dates
- Clergy rotas and associated communications
- Weekly HTB Group Staff Meetings, including:
- Running orders
- Speaker coordination
- Preparing agendas
- Liaison with Worship and Prayer teams
- Support Senior Leadership Team meetings and other leadership forums as needed
- Arrange all travel requirements:
- Flights, accommodation, rail arrangements
- Insurance
- Itineraries
- Expense management
- Conduct research and provide administrative support for:
- Preaching assignments
- Ministry initiatives
- Other projects

2. Sunday Services, Academy & Preaching/Sermon Series
- Support oversight and delivery of Sunday services across HTB’s six sites (ten weekly services)
- Direct support for:
- 9:30am and 11:30am services (HTB Brompton Road)
- Assist with:
- Preaching schedules
- Clergy allocation
- Service planning
- Coordinate effectively with:
- Worship
- HTB Kids
- Youth
- Students
- Production
- Livestream
- Other ministry teams
- Manage all aspects of external speaker visits, including:
- Invitations & logistics
- Travel and accommodation arrangements
- Communications & honorarium processing
- Hospitality logistics
- Act as primary point of contact for visiting speakers and guests
- Coordinate speaker-related resources:
- Books
- Supporting materials
- Communication and planning support with the Director of Communications
3. PCC & Wider Church of England Engagement
- Draft PCC papers, reports, presentations, and documentation
- Collaborate with the Group COO’s Office on governance materials
- Support communications with:
- Chelsea Area Deanery
- Kensington Area Council
- Diocese of London
- Archdeacons and wider Church of England bodies
- Coordinate responses to diocesan requests and matters affecting HTB
- Assisting in:
- Ensuring compliance with Church of England requirements
- Maintaining governance expectations

Requirements
Applicants should demonstrate minimum the following skills and experience:
- Strong administration skills
- Attention to detail
- Expert writing and drafting proficiency
- Outstanding organisational abilities
- Experience supporting a senior leader/C-Level executive in a fast-paced environment
- High-degree of confidentiality sensitivity
- Excellent communication and interpersonal skills
- Advanced computer literacy (familiarity with MS Word, MS PowerPoint, and MS Excel required)
