Human Resources Apprentice

We are looking for a Human Resources Apprentice to join our People & Culture team at The Grimsby Institute. You'll support our recruitment processes by advertising vacancies, completing pre-employment checks, handling enquiries and providing HR administration, gaining valuable experience in a busy People & Talent function.

  • Monday – Thursday 8:30am – 5pm
  • Friday 8:30am – 4:30pm (1 hour for lunch)
  • 37 hours a week

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you'll do at work

  • Support the end-to-end recruitment process, including advertising vacancies, arranging interviews and issuing recruitment documentation.
  • Complete pre-employment checks, including right to work, references, DBS checks and qualification verification.
  • Maintain accurate employee records and HR systems, ensuring compliance with GDPR and data protection requirements.
  • Respond to HR queries from managers and staff, providing first-line advice and escalating where appropriate.
  • Produce contracts, offer letters, employment amendments and other HR correspondence.
  • Support the onboarding and induction process for new employees.
  • Monitor probation periods and support managers with review documentation.
  • Prepare reports and HR data to support decision making and workforce planning.
  • Organise meetings, take minutes and coordinate HR-related activities.
  • Support employee wellbeing, engagement and learning initiatives across the college.
  • Assist with absence management administration, maintaining accurate records and producing reports.
  • Ensure HR policies and procedures are followed and communicated effectively.
  • Work collaboratively with recruiting managers and external agencies where required.
  • Maintain confidentiality and handle sensitive information professionally and ethically.
  • Contribute to the continuous improvement of HR processes and administrative systems.
  • Develop knowledge of employment legislation and apply this appropriately in day-to-day work.
  • Work towards achieving the Level 3 HR Support Apprenticeship by completing off-the-job learning and demonstrating the required knowledge, skills and behaviours.

What you'll learn

Course contents

Service Delivery: Delivers excellent customer service on a range of HR queries and requirements, providing solutions, advice and support primarily to managers. Builds managers’ expertise in HR matters, improving their ability to handle repeated situations themselves where appropriate. Uses agreed systems and processes to deliver service to customers. Takes the initiative to meet agreed individual and team KPIs in line with company policy, values, standards. Plans and organises their work, often without direct supervision, to meet commitments and KPIs.
Problem Solving: Uses sound questioning and active listening skills to understand requirements and establish root causes before developing HR solutions. Takes ownership through to resolution, escalating complex situations as appropriate.
Communication & Interpersonal: Deals effectively with customers/colleagues, using sound interpersonal skills and communicating well through a range of media eg phone, face to face, email, internet. Adapts their style to their audience. Builds trust and sound relationships with customers. Handles conflict and sensitive HR situations professionally and confidentially.
Teamwork: Consistently supports colleagues /collaborates within the team and HR to achieve results. Builds/maintains strong working relationships with others in the team and across HR where necessary.
Process Improvement: Identifies opportunities to improve HR performance and service; acts on them within the authority of their role. Supports implementation of HR changes/projects with the business.
Managing HR Information: Maintains required HR records as part of services delivered. Prepares reports and management information from HR data, with interpretation as required.
Personal Development: Keeps up to date with business changes and HR legal/policy/process changes relevant to their role. Seeks feedback and acts on it to improve their performance and overall capability.

Training schedule

Level 3 HR Support.
A bespoke programme of technical and vocational training.
Functional skills in Maths and English*if applicable.
The successful candidate will be assigned a dedicated work-based trainer who will provide support and guidance throughout the course. This Apprenticeship is blended online delivery; the successful candidate will need to attend online taught sessions as is required as part of the apprenticeship.

Essential qualifications

  • GCSE in:
    • English (grade 4/C or above)
    • Maths (grade 4/C or above)
