HR Coordinator (Multilingual)

Job Purpose

This role plays a key part in delivering a responsive, professional, and compliant HR service across the business. Acting as the first point of contact for HR-related queries, the HR Administrator/Coordinator supports the full employee lifecycle and provides reliable advice on first-stage employee relations matters, while continuously improving HR processes and data-oriented solutions.

Key Responsibilities

Employee Lifecycle & Compliance

  • Register and onboard employees in line with company procedures
  • Conduct security vetting, including ID checks, DBS applications, overseas checks, and references
  • Prepare employment contracts, variations, and confirmation letters
  • Process leavers and ensure accurate updates across HR systems

HR Advisory & Employee Support

  • Respond to HR queries from employees, managers, clients, and external partners
  • Provide guidance to managers on HR best practice and first-stage ER matters
  • Attend welfare, investigation, and disciplinary meetings in an advisory capacity, taking formal notes
  • Manage sickness administration, medical certification, and liaise with payroll regarding SSP

Reporting, Records & Process Improvement

  • Maintain accurate employee records in line with GDPR requirements
  • Produce regular HR reports (e.g. DBS, training, absence, turnover, length of service, visas)
  • Maintain organisation charts and HR documentation
  • Identify opportunities to improve HR processes, efficiency, and data accuracy
  • Contribute to wider HR projects and initiatives

Skills, Experience & Knowledge

  • Fluent in Portuguese and/or Spanish (desired)
  • Experience working in an HR administrative or HR operations role
  • Strong interest in developing a career in Human Resources
  • Confident working with sensitive and confidential information
