HR Administrative Support Role

You will provide HR administrative support, maintain accurate employee records, and ensure systems are updated with starters, leavers, contractual changes, and absence information. You will prepare reports, support managers with people data, and handle employee queries in a professional and confidential manner.

Responsibilities

  • Act as the primary contact for all HR administration matters:
    • Provide administrative support across the employee lifecycle.
    • Escalate queries requiring advice or interpretation to the Trainee Business Partner.
    • Ensure that HR records, both physical and electronic, are kept up-to-date, accurate, and securely stored at all times.
    • Ensure all employee information is updated on systems and databases.
    • Produce accurate monthly sickness and retention reports for review.
    • Handle HR-related paperwork and documentation.
    • Assist with payroll administration by inputting authorised documentation onto the HR portal, ensuring accuracy and completeness.
    • Respond to employee queries relating to HR administration and processes, escalating queries requiring advice, interpretation, or judgement to the Trainee Business Partner.
    • Assist the Trainee Business Partner with preparations for internal meetings and take notes where necessary.
    • Manage the online Medicash portal.
    • Monitor DBS checks and escalate any concerns or non-compliance in line with safeguarding and organisational policy.
    • Maintain the online training portal, coordinating enrolment of new starters and ensuring training records are accurate and up to date.

Recruitment

  • Provide administrative coordination across the recruitment lifecycle, including advert posting, application tracking, interview scheduling, and pre-employment checks, under the guidance of the HR Advisor.
  • Keep an accurate record of all applications.
  • Coordinate interview arrangements in liaison with managers and confirm details with applicants.
  • Ensure all candidates are informed of their application status post-shortlisting.
  • Ensure all necessary information is completed and stored securely on file.

Course Contents

  • Service Delivery:

    • Delivers excellent customer service on a range of HR queries and requirements, providing solutions, advice, and support primarily to managers.
    • Builds managers’ expertise in HR matters, improving their ability to handle repeated situations themselves where appropriate.
    • Uses agreed systems and processes to deliver service to customers.
    • Takes the initiative to meet agreed individual and team KPIs in line with company policy, values, standards.
    • Plans and organises their work, often without direct supervision, to meet commitments and KPIs.
  • Problem Solving:

    • Uses sound questioning and active listening skills to understand requirements and establish root causes before developing HR solutions.
    • Takes ownership through to resolution, escalating complex situations as appropriate.

    • Keeps up to date with business changes and HR legal/policy/process changes relevant to their role.
    • Seeks feedback and acts on it to improve their performance and overall capability.

Requirements

  • GCSE in:
    • English (grade 4)
    • Maths (grade 4)
