HR Officer

As the HR Officer, you will play a key role in delivering a professional, customer-focused HR service that supports staff and senior stakeholders across the organisation.

You will be at the heart of day-to-day operations, acting as the first point of contact for staff enquiries while managing a broad range of HR administrative processes, including:

  • New starters, probation, and absence management

This is a varied and rewarding position, offering valuable experience across multiple HR functions. You’ll contribute to maintaining robust systems and records, ensuring a smooth and supportive experience for employees. An ideal opportunity for someone looking to develop or enhance their HR expertise in a dynamic, people-focused organisation.


Key Responsibilities

Customer & Enquiries Management

  • Respond to telephone and team inbox enquiries promptly covering iTrent (HR system) and Flexi (time reporting)
  • Engage with internal and external clients, including:
    • Commission staff
    • Senior officials

Documentation & Record-Keeping

  • Compose clear and accurate correspondence, including:
    • Letters confirming adjustments in:
      • Contractual hours
      • Posts
      • Maternity/paternity leave
      • New starters/leavers
  • Process new starter paperwork
  • Ensure timely execution of the probation process

Absence & Occupational Health Support

  • Support absence management, including:
    • Tracking fit notes
    • Updating iTrent records for accuracy
    • Attending absence meetings and following actions
  • Assist Occupational Health by:
    • Monitoring inboxes
    • Booking and arranging appointments

Communication & Administrative Support

  • Send weekly ‘Keeping in Touch’ emails to staff on:
    • Career breaks
    • Secondments
    • Maternity/paternity leave
    • Long-term absences
  • Organise meetings (in-person and virtual):
    • Coordinate hospitality & venue bookings
    • Arrange hybrid/hybrid collaborative gatherings
  • Compile and circulate meeting agendas and papers while acting as a note-taker

Financial & Records Administration

  • Undertake general administrative duties, ensuring:
    • Relevant documentation is processed & file safely
  • Maintain records and systems, facilitating record retrieval
  • Administer purchase orders and invoice payments, tracking expenditure accurately

Job Specific Criteria

  • Proficient IT skills with expertise in Microsoft Office products
  • Strong interpersonal and communication skills, prioritising:
    • Customer-focused assistance
    • Handling sensitive and confidential information
  • Ability to operate independently while leveraging available support
  • Precision and detail-oriented, complemented by:
    • Effective organisation
    • Adaptability to changing demands
