Job Brief

We are seeking a highly organised and detail-oriented IFA Administrator to provide comprehensive administrative support to our Independent Financial Advisers (IFAs).

The successful candidate will be responsible for preparing documentation, processing new business, liaising with providers and clients, maintaining accurate records, and ensuring compliance with regulatory requirements. Strong organisational skills, excellent communication, and the ability to manage multiple tasks are essential.

Key Responsibilities

  • Provide day-to-day administrative support to Independent Financial Advisers.
  • Process new business applications, fund switches, withdrawals, and policy servicing requests.
  • Prepare client meeting packs, valuations, and suitability report documentation.
  • Liaise with product providers, clients, and third parties to obtain required information.
  • Maintain accurate client records on CRM systems.
  • Monitor workflows and ensure cases progress efficiently.
  • Support advisers with compliance and regulatory documentation.
  • Handle incoming telephone calls, emails, and client enquiries professionally.
  • Assist with diary management and appointment scheduling.
  • Ensure all administrative tasks are completed accurately and within agreed service levels.

Requirements

  • Previous experience in an IFA or financial services administration role.
  • Excellent organisational and administrative skills.
  • Strong attention to detail and accuracy.
  • Proficiency in Microsoft Office and CRM/back-office systems.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Knowledge of FCA regulations and financial services processes is desirable.
