Information Controller
Tasks
As an Information Controller within the Build subdivision of STRABAG UK, you will play a key role in supporting the successful delivery of construction projects through the effective management, control, and distribution of project documentation. This is an excellent opportunity for a highly organised professional with a traditional document control background who is looking to move into a broader Information Management career pathway.
Requirements
Undertake day-to-day information control activities across the project, ensuring information is received, checked, processed, distributed, filed and recorded in accordance with project requirements. Support the effective use of the Common Data Environment and associated information systems, including Asite or other project platforms, ensuring users follow agreed workflows, protocols and procedures. Manage incoming and outgoing information packages, documents, transmittals, enquiries, tenders, tender addendums and other project information exchanges. Update and maintain document metadata, document registers, tender/addendum schedules, trackers and other information records to support accurate reporting, traceability and information retrieval. Ensure project information control processes, metadata, CDE protocols, naming conventions, numbering requirements, workflows and filing structures are being followed. Work with Design Managers, BIM teams, Assurance teams, Pre-construction, Delivery teams and other project stakeholders to support their information and EDMS/CDE requirements. Generate routine reports for information sharing, document status, workflow progress, user activity, information quality, overdue actions and project team requirements. Support information quality by checking documents and information packages for completeness, correct metadata, status, suitability, revision, naming and compliance with project requirements. Assist with reviewing, refining and improving CDE workflows, information control processes, project-specific procedures, forms, trackers and process charts. Support project teams in the correct use of CDE systems, workflows and information control processes, including assisting with user guidance, onboarding and basic training where required. Maintain electronic and, where required, hard copy information records, ensuring latest information is available, appropriately filed and distributed to relevant parties. Support access control, information security and appropriate sharing of project information in line with project procedures and company requirements. Maintain effective communication with internal and external project teams, suppliers, client representatives and other stakeholders regarding information control requirements. Liaise with the Information Manager, Lead Information Controller, Project Lead or other nominated Information Management representative to support standardisation, consistency and sharing of best practice across the business. Keep updated on relevant systems, tools, standards and good practice, and contribute to improvements in information control, CDE use, automation, reporting and data-driven ways of working.

Qualifications
Required:
Previous experience in document control, information control, CDE administration, EDMS support or project information coordination with experience using Asite. Experience working with project information, documents, registers, workflows, metadata or document control processes within a construction, infrastructure, engineering, design or project delivery environment. Good communication skills, with the ability to deal with internal and external project team requests in a professional and helpful manner. Good organisational and administrative skills, including the ability to manage individual workloads, deadlines, document records and project information trackers. Good working knowledge of Microsoft Office applications, including Outlook, Word and Excel. Ability to maintain accurate document metadata, registers, filing structures and information records. Strong attention to detail and a quality-focused approach to checking, processing and issuing project information.

Desired
Experience of Asite or comparable CDE / EDMS platforms such as ProjectWise, AssetWise, SharePoint, Viewpoint, ACC, Thinkproject or CEMAR. Experience working in a design, pre-construction, tendering, assurance or delivery environment. Experience managing tender information, tender addendums, enquiries, document registers, transmittals or formal information exchanges. Ability to generate and interpret routine reports for information sharing, document status, workflow progress, overdue actions, user activity and information quality. Experience supporting CDE protocols, workflows, process charts, document control procedures or information management plans. Basic knowledge of Power BI, dashboards, SharePoint lists, forms or automation tools. BSI Project Information Professional, Asset Information Professional, or willingness to work towards relevant Information Management / CDE training or certification. Working knowledge of BS1192 / PAS1192 legacy principles and the ISO 19650 suite of standards.
