Information Systems Coordinator
Key points

Overview
ZHA relies on a diverse ecosystem of information systems to support project delivery, operations, finance, collaboration and knowledge management. We are seeking an Information Systems Coordinator to provide day-to-day operational support across our environment, ensuring our systems remain stable, well-maintained and continuously improving.
You will work closely with colleagues across the practice to resolve issues, manage requests, streamline processes and support enhancements across our enterprise applications. This role ensures continuity across our digital workplace and is well suited to an early-career professional looking to build experience across business systems and information management within a creative practice.
Main Responsibilities
- Provide day-to-day operational support across ZHA’s core information systems, ensuring stability and timely resolution of issues.
- Monitor and maintain system configurations, user access, permissions and data integrity across enterprise platforms.
- Support system enhancements, minor configuration changes and process improvements to improve user experience and operational efficiency.
- Document system processes, data flows, configurations and user guides to support consistency and knowledge retention.
- Troubleshoot user issues, liaising with internal teams, IT and vendors where required.
- Assist with releases, upgrades, testing cycles and coordinating change activities.
- Provide onboarding and training support for new users.
- Support integration points between systems and help triage data or workflow-related issues.
- Contribute to ongoing improvement initiatives across ZHA’s information systems landscape.

Your profile
- You have an analytical, detail-oriented mindset and enjoy problem-solving.
- You are curious about how systems and processes work, and enjoy learning new tools and ways of working.
- You are interested in emerging technologies (including AI-enabled tools) and learning how these can be used in practice.
- You are comfortable working across multiple business applications and building an understanding of how they are used.
- You are proactive, organised and able to manage competing priorities.
- You can communicate effectively with technical and non-technical colleagues.
Required Experience
- Some experience supporting, administering or working closely with information or business systems.
- Familiarity with Microsoft 365 ecosystem (Teams, SharePoint, OneDrive, Copilot, Power Platform)
- Awareness of common information system models (on-prem, SaaS, hybrid), user management and licensing.
- Strong problem-solving and troubleshooting skills.

Desired Skills And Qualifications
- Experience with ERP, CRM, DAM or management systems.
- Interest in process improvement, automation and data.
- Experience in creative, architectural or design-oriented environments is a plus.
- Degree or equivalent experience in Information systems, Business systems, IT or related field.
