About the Role
This Fixed-Term Contract (FTC) role (12 months) falls under Client Operations Oversight, part of Client Operations. The focus is on:
- Overseeing outsourced services alongside retaining certain in-house processes
- Ensuring robust controls align with risk, regulatory obligations, and commercial objectives

Key Responsibilities
Transfer Agency (TA) Oversight
- Complete TA functions across the UK, Ireland, and Luxembourg, ensuring:
- Remedial action is taken where breaches occur
- Supplier oversight is effective (including first-line monitoring, ad-hoc reviews, analysis of breaches, and complaints)
- Review and update relevant transfer agency procedures
Operational & Compliance Monitoring
- Coordinate internal error reporting, with process improvement recommendations
- Review TA referral KPIs, identifying trends for enhancement
- Lead dormant assets management:
- Ensure repatriation of funds when client contact is lost through available tools
- Oversee CASS (Cash Aggregation Service Scheme) activities for the TA function, reporting concerns to the CASS Oversight Manager
Supplier Coordination & Reporting
- Facilitate monthly operational service review meetings with TA providers, documenting minutes and actions
- Maintain supplier issues logs, ensuring timely resolution of issues
- Conduct monthly oversight of TA-produced rebate accrual and payment files, verifying alignment with expectations

Rebate Handling
- Manage internal and external rebate queries in a timely manner
Desired Skills & Experience
Essential
- Proven experience in financial services customer services administration
- Strong ability to manage client, internal, and supplier relationships
- Expertise in working under tight, pressurised deadlines
- Analytical skills, including identifying data trends and inefficiencies
- Technical competence with TA systems, unit trusts, ICVCs, and SICAVs
- Knowledge of -onshore and offshore investment products, regulatory environments, including:
- CASS (Cash Aggregation Service Scheme)
- AML (Anti-Money Laundering) and KYC (Know Your Customer)
- Ability to solve problems proactively and suggest process/service improvements
- Excellent written and verbal communication, with flexibility and teamwork as core traits
- Intermediate proficiency in Microsoft Word and Excel
- Capacity to manage stakeholder expectations
