Internal Comms Project Specialist

Description
Lisbon, Portugal (hybrid: 3 days per week in the office)
We are looking for a proactive and adaptable Search & Operations Associate to join a fast-paced, collaborative team. This is a varied role that combines project management, operational improvement, internal communications, and AI-driven innovation.
Rather than focusing on one specialist area, you'll work across multiple projects that help improve how the team operates. You'll take ownership of initiatives from idea through to delivery, work with stakeholders across different functions, analyse data and budgets, identify opportunities for improvement, and help introduce new ways of working using AI and automation.
This is an excellent opportunity for someone who enjoys solving problems, working independently, and making a real impact in a constantly evolving environment.

Key Responsibilities
- Lead and coordinate cross-functional projects from planning through execution.
- Manage multiple workstreams while balancing changing priorities.
- Identify opportunities to improve operational processes and team efficiency.
- Analyse budgets, KPIs, and operational data to support decision-making.
- Create clear internal communications and updates for different audiences.
- Use AI tools and automation to improve workflows and increase productivity.
- Support initiatives related to team culture, engagement, and operational excellence.
- Work closely with stakeholders across different teams to drive projects forward.
- Take ownership of loosely defined projects, bringing structure and delivering measurable outcomes.
- Proactively identify challenges, recommend solutions, and continuously improve ways of working.
Skills, Knowledge & Expertise
- Experience managing projects or operational initiatives.
- Strong organisational skills with the ability to manage multiple priorities.
- Comfortable working independently with minimal supervision.
- A proactive mindset with a strong sense of ownership and accountability.
- Excellent communication skills, both written and verbal.
- Experience working with budgets, reporting, KPIs, or operational metrics is an advantage.
- Confidence using AI tools (such as ChatGPT, Gemini, Copilot, or similar) to improve productivity and workflows.
- Experience with project management or collaboration tools such as Asana, Jira, Trello, Monday.com, Notion, or similar is beneficial.
- Comfortable working in a fast-changing environment where priorities can evolve quickly.
- Curious, adaptable, and always looking for better ways to solve problems.
