About The Role
We are looking for a detail-oriented Inventory & Systems Coordinator to join our team during a critical phase of growth, for a 6 months contract, with potential for extension. You will be the bridge between our PIM (Salsify), our ERP (NetSuite), and our WMS (OrderWise). Your primary mandate is to ensure our system data reflects physical reality, reconciling discrepancies and establishing a robust weekly "source of truth." This role requires a balance of disciplined, repetitive data stewardship and the ability to identify and solve the root causes of inventory inaccuracies.

Responsibilities
Knowledge Sharing
- Act as the internal point of contact for inventory data accuracy, helping to document standard operating procedures (SOPs) for inventory management.
Data Integrity & Management
- Master Data Stewardship: Ensure product master data is accurately replicated and maintained across Salsify, NetSuite, and OrderWise.
- Manual Synchronization: Execute the necessary data entry to keep systems aligned while we transition to full automation.
- System Audits: Perform daily/weekly health checks on cross-system product information (descriptions, dimensions, pricing, and classifications).
Inventory Reconciliation
- System vs. Physical Matching: Lead the weekly reconciliation process between OrderWise (WMS) and NetSuite (ERP), and verify against physical counts in the warehouse.
- Transaction Investigation: Identify and rectify discrepancies in inventory transactions (receipts, stock moves, shipments).
- Weekly Cut-off Management: Drive the cross-functional workflow to ensure all warehouse and purchasing activities are "cut off" and synced at the designated weekly deadline.

Process Improvement & Collaboration
- Root Cause Analysis: Partner with warehouse and procurement teams to investigate why discrepancies occur, moving beyond simple fixes to implement long-term preventative measures.
- Collaborative Workflow Design: Work closely with our Process Engineer to refine the weekly cut-off workflow and ensure that manual data entry points are phased out as integrations are completed.
About You
- ERP/WMS Proficiency: Demonstrable experience working within NetSuite and OrderWise (or comparable systems).
- Data Fluency: Advanced Excel skills (must be able to perform VLOOKUPs, Pivot Tables, and use Power Query for data comparison).
- Analytical Mindset: An ability to "connect the dots" between a transaction error in the WMS and the corresponding financial impact in the ERP.
- Attention to Detail: A high degree of accuracy is non-negotiable; you should be the person who notices when a SKU count is off by one before anyone else does.
- Strong Communication: Must be comfortable working across departments to enforce new workflows and gather the information needed to resolve data gaps.
Location: we would like this person to be based at our warehouse in Milton Keynes.
Contract type: this role is originally a 6 months contract, with potential for extension.
