Senior Investment Management Administrator – Private Clients
Location: London (City) | Work Arrangement: Hybrid – 4 days in the office, 1 day from home | Salary: Competitive
About The Firm
Our client is a well-established, partner-owned investment management firm based in the City of London with a team of circa 35 staff and partners. They offer bespoke investment and wealth management services to private clients, blending institutional investment standards with a relationship-led approach.
The firm also manages a dedicated wealth planning offering, providing retirement, tax-efficient, and estate planning advice to its private client base.
The Role
This is an exciting opportunity for an experienced private client investment administrator to join a growing team, delivering high-quality administrative support to the Head of Wealth Planning and the wider team.
Key Responsibilities
- Provide administrative support, including diary management, meeting arrangements, and managing client/adviser correspondence.
- Produce accurate and timely reports and presentations for client and internal meetings.
- Prepare client meetings, including agendas, meeting packs, and follow-up activities after meetings.
- Work with the Head of Wealth Planning to develop and refine team processes and procedures.
- Build and maintain strong working relationships with clients, advisers, and internal colleagues.
- Maintain client records (plans, fees, tasks, and activities) on the firm’s back-office platform.
- Implement advice recommendations, including form completion and coordination with product providers.
- Prepare and issue fund switch and withdrawal letters, conducting necessary research and documentation.
- Analyse client and provider data using research tools to support fund performance and illustration comparisons.
- Obtain Letters of Authority (LOAs) and ensure accurate, timely plan information.
- Liaise with third parties and providers to clarify technical issues and resolve queries.
- Prepare client valuations and annual review packs.
- Conduct research for advisers as required.
- Assist the team with ad hoc projects and tasks.

About You
- 5+ years of administrative experience in investment management or wealth planning, preferably with private/HNW clients.
- Exceptional administrative and organisational skills, with the ability to manage multiple tasks and priorities effectively.
- Strong numeracy skills and an impeccable attention to detail.
- A confident communicator, comfortable in both written and verbal exchanges.
- Ability to work independently, take initiative, and take ownership of tasks.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and adaptable to firm-specific software.
- A collaborative and inclusive team player, thriving in a close-knit working environment.
