Investment Operations Administrator – Alternatives Team
About the Role
Titan Asset Management, previously known as Tavistock Wealth, manages over £1 billion in assets for retail clients. Our team blends traditional values with innovative thinking to deliver ethical, consistent returns. We’re now seeking an Investment Operations Administrator to join our Alternatives team, a highly specialised unit supporting tax-efficient investment solutions, including EIS, SEIS, VCT, and Business Relief products.
This role sits at the heart of the operation, offering exposure across:
- Investment operations
- Client services
- Finance, provider relationships
- Adviser support

Responsibilities
Investment Operations & Data
- Maintain and update the central database with client and investment data (pricing, trades, distributions, restructures, and fees)
- Manage client and investment records (current & historical)
- Produce and maintain portfolio reports (monthly internal, bi-annual client distributions for ~250 clients)
- Report AUM to the finance team on a monthly basis
- Track and maintain investee company updates, providing summaries as required
Finance & Invoicing
- Support fee/revenue tracking
- Manage invoicing in line with the revenue calendar
- Liaise with the finance team on P&L and reporting queries

Client Services (Eocene Priority Clients - EPC)
- Primary point of contact for EPC clients
- Oversee client onboarding (AML checks, documentation)
- Manage the investment application process and maintain accurate records
- Distribute client communications (portfolio reports, financial promotions & ad-hoc updates)
- Respond to client queries and support the Director with information
Adviser & Provider Coordination (TAP)
- Regular liaison with platform providers and advisers
- Manage investment raises and portfolio queries
- Track and maintain illustration records and open cases
- Reconcile provider data (monthly tracking), monitor completion rates, and raise invoices
Ad Hoc Support
- Assist with end-of-year tax return requests
- Support investment applications & general admin
- Provide diary management & inbox support where needed
Key Skills & Experience
Essential
- Prior experience in:
- Wealth management
- Financial services administration
- Investment operations
- Investor relations or client services
- Attention to detail (critical for client info, data, reports & invoicing)
- Experience with high-net-worth clients, advisers or investment providers
- Excel proficiency:
- VLOOKUPS, SUMIFS
- Data reconciliation & manipulation
- Large dataset analysis
- Experience maintaining databases & multi-portal systems
- Strong organisational skills:
- Managing competing priorities
- Operating proactively with minimal supervision
- Clear written communication (proofread reports, presentations, client materials)
