Job Title: IT Administrator

Salary: £40,000 to £45,000 (dependent on experience)

Location: London, 4.5 day week (office-based Monday - Thursday, work from home on Friday morning)

About the Role

The IT Administrator looks after Terrapinn's software, identity and AI tools. Your main job is licence management: knowing what we own, who has it, what it costs and where we can save. You will also run the starter and leaver process across all our platforms. This is a hands-on role. You will hold Global Admin for our Microsoft tenant and be the person the business relies on to set up, secure and support its systems every day.

Key Responsibilities

  • Licence management (core):
    • Own all software licences, agreements and renewals.
    • Track usage, remove or resize licences to cut spend, manage our reseller relationships (e.g. Microsoft 365, Google Workplace, Zoom) and report on compliance, usage and cost.
  • Microsoft 365 & Entra ID:
    • Global Admin.
    • Create and deactivate accounts for starters and leavers, assign licences, run Exchange admin and security admin including MFA and conditional access.
  • AI tools administration:
    • Admin for our AI platforms (Claude, Gemini, ChatGPT).
    • Manage seats, workspaces, permissions and usage. Setup connectors and mcps.
  • SaaS administration:
    • Org admin for Google Workspace, Salesforce, HubSpot, Gong, Zoom and LTT/Callagur.
    • Set up and remove users, map roles and manage SSO and domain setup.
  • Starters and leavers:
    • Own the process end to end. Starters are ready on day one, leavers are fully deactivated on their last day, with a clear audit trail.
  • Reporting & automation:
    • Build Power BI reports and automations (e.g. Power Automate) to make licence tracking, starter/leaver and admin work faster.
  • IT support:
    • First and second line support for devices, connectivity and office kit.
    • Endpoint management (MDM, patching, antivirus).
    • Support at live events.
    • Keep asset records accurate.

About You

This is a hands-on role and the process includes a practical technical task. You should be able to show, not just describe, the skills below.

Essential for this Role:

  • Proven software licence management: tracking, optimising and renewing licences and managing vendor and reseller relationships.
  • 3+ years hands-on Microsoft 365 and Entra ID admin, including Exchange, security and MFA, and the full user lifecycle.
  • Admin experience of AI tools such as Claude, Gemini or ChatGPT (enterprise or team plans, seats and permissions).
  • Hands-on SSO and domain setup (SAML/OIDC), plus org admin experience on platforms e.g. Google Workspace, Salesforce, HubSpot, Gong, Zoom.
  • Experience building automations (e.g. Power Automate, Claude / Google Agents).

Bonus:

  • MCP and AI connector experience.
  • AI Agents / Agentic experience.

Competencies

  • Takes real ownership and sees things through.
  • Strong attention to detail, especially around security and access.
  • Explains things clearly to non-technical people.
  • Calm under pressure, including at live events.

Recruitment Process

  3. Technical task (in person): A practical hands-on exercise, for example scenario across Microsoft 365/Entra or AI Tools.
  4. Final interview (in person): With Group Digital AI Director and COO.
