IT Asset Management Administrator

About the Role
The IT Asset Management Administrator role involves managing IT hardware throughout its entire lifecycle—from onboarding new staff (joiners), managing relocations (movers) and offboarding (leavers), to procurement, tracking, stock control, and secure asset disposal/Charity donation.
This position ensures:
- Fully equipped new starters on day one.
- Secure and efficient device management.
- Accurate maintenance of all IT asset records.
Key Responsibilities
Joiners, Movers & Leavers (JML)
- Process end-user systems for joiners, movers, and leavers.
- Register new starter equipment in the asset inventory, ensuring it is ready for issue and tagged correctly.
- Reflect changes for movers accurately within the inventory.
- Manage the device recovery process for leavers, tracking through the ticketing system and escalating as needed.

Asset Management & Compliance
- Maintain an accurate and up-to-date IT asset register, tracking hardware such as laptops, mobile phones, and iPads.
- Ensure accurate recording of asset movements, replacements, disposals, and donations.
- Assist in audits, compliance checks, and asset-related reporting.
- Compile asset management reports as required.
Stock & Build Room Management
- Organise and manage the build room, ensuring a tidy, secure, and operational environment.
- Maintain adequate stock levels of hardware, peripherals, and Colliers-branded materials.
- Conduct stock takes and reconcile physical stock with inventory records.
Procurement & Supplier Management
- Oversee inventory of new laptops for the UK and supported countries.
- Assist with IT supplier ordering portals for hardware procurement.
- Order laptops, mobile phones, and accessories based on approved standards and budgets.
- Liaise with suppliers regarding orders, deliveries, returns, and warranties.

Requirements
Skills & Experience
- Understanding of IT asset management.
- Highly organised, with strong attention to detail in tracking and stock control.
- Comfortable managing supplier ordering portals, stock levels, and procurement processes.
- Ability to work independently and take ownership from start to finish.
- Proficiency in Microsoft Office.
