Job Description
Title: IT Asset Management Administrator
Reports to: Technology Service Coordinator
Duration: 6-month contract
Department: Colliers Technology
Location: London
IT Asset Management Administrator is responsible for the end-to-end management of IT hardware across its lifecycle, including joiners, movers and leavers, procurement, asset tracking, stock control, and secure disposal/Charity donation. This role ensures new starters are fully equipped on day one, devices are managed securely and efficiently, and all IT assets are accurately recorded and maintained.
Key Responsibilities
Joiners, Movers & Leavers (JML)
- Responsible for completing all relevant tasks associated with the joiners, movers and leavers process for end-user devices.
- Ensure new starters equipment is registered in the asset inventory with the appropriate status and ready to be issued on day one.
- Ensure changes regarding movers are reflected in the asset inventory.
- Manage devices recovery for leavers through the ticket management tool, tracking and escalating as appropriate.

Asset Management & Compliance
- Responsible for the IT asset register, ensuring it is accurate, up to date, and maintained in an orderly manner.
- Track all hardware assets including laptops, mobile phones, iPads etc.
- Ensure asset movements, replacements, disposals and donations are correctly recorded.
- Support audits, compliance checks and reporting related to IT assets.
- Assist with asset management reports as required.
Stock & Build Room Management
- Take responsibility for the organisation of the build room, ensuring it is kept tidy, secure and operational.
- Maintain sufficient stock levels of all hardware, peripherals and Collier’s branded stock.
- Carry out and coordinate regular stock takes, reconciling physical stock with asset records.
Procurement & Supplier Management
- Manage stock of new laptops for the UK and other supported countries, when required.
- Assist with IT suppliers’ ordering portals for hardware procurement.
- Order laptops, mobile phones and accessories in line with approved standards and budgets.
- Liaise with suppliers regarding orders, deliveries, returns and warranties.

Skills & Experience
- Understanding of IT asset management
- Highly organised with strong attention to detail, particularly in asset tracking and stock control.
- Comfortable interacting with suppliers, ordering portals and stock levels.
- Able to work independently and take ownership of processes from start to finish.
- Working knowledge of Microsoft Office
