IT Asset Management Administrator - 6 Month FTC

Job Description: IT Asset Management Administrator

Company: Colliers, a leading commercial real estate services company providing broking, valuation, real estate management, consulting, and other property-related services across core sectors (office, industrial, retail, hotel) and specialised property types. The UK business operates from 16 offices across the UK and Ireland, with over 1,300 specialists.


Role Overview

Title: IT Asset Management Administrator Department: Colliers Technology Location: London Contract: 6-month fixed-term Reports to: Technology Service Coordinator

This role ensures the end-to-end management of IT hardware across its lifecycle, encompassing:

  • Onboarding (joiners), transitions (movers), and asset disposals (leavers)
  • Procurement, asset tracking, stock control, and secure disposal/charity donations
  • Guaranteeing smooth device issuance for new starters and accountability for IT inventory

Key Responsibilities

Joiners, Movers & Leavers (JML)

  • Oversee device allocation for joiners, including registration in asset inventory and day-one readiness
  • Update asset records for movers to reflect changes in location or user
  • Manage leavers via the ticketing system, tracking recoveries and escalating as needed

Asset Management & Compliance

  • Maintain an accurate and up-to-date IT asset register (laptops, phones, tablets, etc.)
  • Ensure correct documentation of asset movements, replacements, disposals, and donations
  • Support compliance checks, audits, and asset-related reporting

Stock & Build Room Management

  • Organise, secure, and optimise the build room, including hardware, peripherals, and branded stock
  • Monitor stock levels and coordinate regular stock takes, reconciling records with physical inventory

Procurement & Supplier Management

  • Oversee procurement of laptops for UK and international offices as required
  • Manage orders via supplier portals, coordinating deliveries, returns, and warranties
  • Liaise with vendors to meet approved budgets and standards

Requirements & Skills

  • Proven understanding of IT asset management processes
  • Highly organised with a meticulous eye for detail (critical for asset tracking)
  • Ability to interact confidently with suppliers and ordering portals
  • Strong independence with independent process ownership
  • Working knowledge of Microsoft Office
