The Role: Software Licence Administrator
At EIT, we are seeking an experienced, detail-oriented, highly organised, and proactive Software Licence Administrator to take end-to-end ownership of software licensing across EIT. As our scientific programmes scale and our technology footprint expands, you will play a critical role in ensuring seamless software onboarding, accurate licence management, and uninterrupted access to the digital tools that power our research and operations.
You will:
- Build scalable processes and streamline licence workflows
- Collaborate across IT, Legal, Finance, Procurement, and programme teams to ensure efficiency, compliance, and seamless operations.

Responsibilities

Software Licence Maintenance
- Maintain accurate records of all EIT software licences and catalogue offerings
- Oversee licence provisioning and deprovisioning as part of employee lifecycle processes
- Purchase additional licences through approved channels when required
- Own and manage the licence renewal schedule, ensuring continuity and avoiding service disruption

Licence Forecasting & Planning
- Partner with institutes and operations teams to forecast future licence needs in line with growth
- Support IT leadership in developing accurate budget forecasts
- Identify licence shortfalls early and implement mitigation strategies

Process Improvement & Innovation
- Define scalable processes tailored to licence types, risk considerations, and system requirements
- Recommend tools and systems that improve tracking, automation, and reporting
- Enhance visibility and transparency of licence availability for the wider EIT community
Requirements
Essential Skills, Qualifications & Experience
- Strong organisational skills and the ability to proactively manage multiple priorities
- Demonstrated experience working with multi-disciplinary technical and operational teams
- Excellent written and verbal communication
- High attention to detail and strong process discipline; always driving continuous improvement in everyday work

Desirable Skills & Experience
- Experience in software licence management, vendor management, or IT procurement
- Understanding of SaaS licensing models and enterprise agreements
- Experience in research, academic, or fast-growing, scaling technology environments
- Familiarity with IT service management or operational onboarding/offboarding workflows

- Salary: £28,000 – £38,000 (dependent on experience) + travel allowance + bonus

Working Together
