Work location: UK (remote)
Duration: 6 weeks contract with a possibility of extension or perm
Client: A global technology company specializing in intelligent data infrastructure, cloud services, and enterprise storage solutions that help organizations manage, protect, and optimize their data.


Overview

Our client is seeking a highly organised and proactive Junior Administrative Assistant to provide comprehensive support to senior leadership and help ensure the smooth day-to-day running of business activities. The successful candidate will be an excellent communicator with strong organisational skills, exceptional attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

The role requires a high level of proficiency in Microsoft Outlook and Microsoft Teams, which will be used extensively for scheduling, communication, meeting coordination, and collaboration with internal and external stakeholders.


Responsibilities

  • Diary Management – Proactively manage complex calendars using Microsoft Outlook, including scheduling meetings, resolving conflicts, adjusting priorities, and ensuring efficient use of time. Coordinate appointments across multiple time zones and provide regular diary updates.
  • Inbox Management – Monitor Outlook inboxes, identify and flag urgent communications, draft routine responses, organise emails into appropriate folders, and ensure timely follow-up on outstanding actions.
  • Meeting Coordination and Preparation – Arrange internal and external meetings, manage invitations, confirm attendance, prepare agendas, gather briefing materials, coordinate pre-meeting discussions, and ensure all required documentation is available. Book meeting rooms internally and externally through Desana, ensuring all conferencing facilities, presentation equipment, and technology are set up and functioning correctly.
  • Microsoft Teams Administration – Schedule and manage Teams meetings, coordinate virtual events, assist with meeting logistics, and support effective collaboration between participants.
  • Travel Arrangements – Coordinate domestic and international travel through BCD, including flights, rail travel, accommodation, transfers, and itinerary management. Ensure all travel plans align with company policies and business requirements.
  • Expense Management – Process expense claims accurately and promptly, maintain supporting documentation, submit receipts, track approval status, and liaise with finance teams as required.
  • Administrative Support – Prepare correspondence, presentations, reports, and meeting notes. Maintain accurate records, organise documents, and provide general administrative support across business operations.

Expectations

  • Previous experience in an Administrative Assistant, Executive Assistant, or similar support role.
  • Advanced knowledge of Microsoft Outlook and Microsoft Teams.
  • Excellent organisational and time-management skills.
  • Strong written and verbal communication skills.

  • High levels of professionalism, discretion, and confidentiality.
