Junior Billing Administrator

Junior Billing Administrator (Commercial Finance Specialist – Invoicing)

Location: Newcastle Upon Tyne, Global Head Office (5 min from Central Station)

About the Role

A fantastic opportunity has arisen for an organised, positive-powered Junior Billing Administrator to join our fast-paced External Contractor Finance team.

This is an excellent career launchpad within Finance. Whether you have prior accounting/finance experience, recently graduated with a finance degree, or simply demonstrate a keen interest—this role will allow you to grow and contribute effectively.


Key Responsibilities

As the Billing Administrator, you will report to the Billing Team Leader and serve as the critical interface between customers, internal departments (Contract Operations), and Sales. Your core responsibilities include:

New Customer Onboarding

  • Collaborate with Sales and customer contacts to define and agree on billing requirements, ensuring arrangements work for all parties.
  • Work with the Contract Finance team to configure billing processes and systems for new customers.
  • Document responsibilities and educate stakeholders on expectations.

Ongoing Billing Operations

  • Daily monitoring of the timesheet portal to assist in validating contractor timesheets and expense reports.
  • Accurate data entry to maintain internal systems, including CRM, accounting, and timesheet tools.
  • Generation of client invoices and updating client portals on a daily basis.
  • Handling multiple queries, discrepancies, and reconciliations, including:
    • Credit adjustments
    • Re-invoicing (rebills)
    • Offboarding/onboarding of contractors in compliance with customer rules.
  • Driving cross-functional meetings to resolve issues and enhance process efficiency.
  • Ensuring high accuracy with large data volumes while maintaining deadlines.

Problem-Solving and Process Improvement

  • Investigate and pinpoint causes of invoice discrepancies.
  • Propose process changes, education, or controls to prevent future issues.

Key Requirements & Skills

Must-Have Qualifications & Competencies

  • Understanding of accounting processes, data analysis, and financial workflows.
  • Advanced Excel skills (formulas, pivot tables, and financial reporting).
  • High attention to detail with a process-driven mindset.
  • Fluent spoken/written English (mandatory).
  • Right to work in the UK independently.

Preferred Experience

  • Experience working with timesheet submissions/queries or contractor data.
  • Fluency in Italian, French, or German (not essential but advantageous).
