Junior Finance and Legal Admin Assistant

We are looking for an agile, detail-oriented Assistant to join our team. This is a unique hybrid role designed to provide critical support across both our Finance and Legal teams. You will be the "glue" that helps manage our supplier relationships, contract lifecycles, and internal processes. We believe it's all about mindset, great skills and attitude and a fantastic work ethic being key. Requirements

  • Microsoft Excel proficiency
  • Inquisitive mindset
  • Ability to think laterally in order to problem solve
  • Detail-oriented with strong communication and problem-solving skills.
  • Comfortable having conversations with colleagues at all levels in the business
  • Comfortable working with large quantities of raw transactional data
  • Experience using NetSuite helpful, but not required
  • Energy and ambition to make a difference to a business going through an exciting period of change and growth
  • Experience in an e-commerce business is beneficial but not essential
  • Adaptable and flexible in a fast-paced, agile, scale-up environment

Responsibilities

Legal & Contract Support:

  • Supporting with the management of the company’s contract database by tracking key dates and obligations and helping administer the tool.
  • Coordinating the signing and approval process for legal documents.
  • Setting up and fact-checking basic legal documents and contracts using our templates.
  • Liaising with the Customer Service team on customer service matters, and with the marketing team to assist them with running promotions.
  • Assisting with basic corporate administrative functions, such as organising meeting minutes and maintaining business filings.
  • Conducting basic research as needed to support the General Counsel on various projects.

Finance:

  • Processing inbound supplier invoices
  • Managing and educating internal stakeholders with regards to Purchase Order process
  • Communicating with suppliers regarding invoice & payment queries
  • Processing the weekly payment run
  • Setting up new suppliers in NetSuite and verifying bank details
  • Reconciliation of company credit cards
  • Process of employee expense claims and becoming an expert in our software
  • Support banking and treasury administration
  • Providing administrative support and performing ad-hoc tasks
