Role Overview

We are seeking an organised and proactive Key Accounts Administrator to join our team on a fixed-term maternity cover contract. This role is responsible for providing comprehensive administrative support to the Key Accounts Team, ensuring the efficient management of key client portfolios and delivering a high standard of customer service.

The successful candidate will play a key role in supporting major client contracts by maintaining accurate records, preparing management reports, updating internal systems and customer portals, processing invoices, and coordinating communication across the business. You will work closely with both internal departments and external clients to ensure contractual obligations, service level agreements (SLAs), and key performance indicators (KPIs) are consistently achieved.

Key Responsibilities

  • Manage and maintain key account information, ensuring records remain accurate and up to date.
  • Prepare documentation, reports, and meeting packs for key account review meetings.
  • Attend key account management meetings when required, taking minutes and recording agreed actions.
  • Act as the first point of contact for key clients, responding promptly and professionally to enquiries.
  • Handle incoming telephone calls, emails, and correspondence, escalating issues where appropriate.
  • Keep clients informed of contract updates, ongoing works, and any service-related issues.
  • Build and maintain positive working relationships with both internal teams and external stakeholders.
  • Maintain customer files, service records, worksheets, schedules, and other operational documentation.
  • Ensure all internal systems and customer portals are updated accurately and within required timescales.
  • Monitor compliance with client-specific SLAs and KPIs through accurate administration and timely updates.
  • Prepare client invoice applications and produce accurate sales invoices.
  • Log and process maintenance requests, coordinating with engineers to ensure timely completion.
  • Provide general admin support, including document preparation, correspondence and record management.
  • Support the wider management team following processes efficiently and consistently

  • Previous experience in a similar administrative or key accounts support role.
  • Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
  • Excellent organisational skills with the ability to manage multiple priorities simultaneously.
  • Exceptional attention to detail and a high level of accuracy.
  • Strong verbal and written communication skills.
  • Experience working directly with both internal stakeholders and external clients.
  • Ability to work effectively under pressure and meet demanding deadlines without compromising quality.
  • Strong relationship-building skills with a collaborative, team-focused approach.
  • Ability to work independently, demonstrating initiative and sound judgement.
  • Excellent planning, prioritisation, and time management skills.
  • Confident in resolving competing priorities while maintaining outstanding customer service.
