About the Role
This Permanent - Full Time (Administrative) position focuses on arranging scheduled and unscheduled maintenance for the Light Commercial Vehicle (LCV) fleet. Your core responsibilities will include:
- Coordinating maintenance activities with owner-driver franchisees (ODFs) to minimise disruptions.
- Collaborating with depots, repairers, and Area Partnership Managers to ensure smooth operations.
- Analysing data to optimise vehicle maintenance schedules across the UK.
- Ensuring repairs are completed on time and in accordance with legislative requirements.
- Processing and paying invoices efficiently.
- Generating and maintaining daily, weekly, monthly, and annual reports (service, MOT, performance).
- Updating internal records and providing administrative support to the Road Transport Collision and Maintenance Control teams.

Key Responsibilities
Maintenance Coordination
- Arrange all scheduled and unscheduled vehicle maintenance activities.
- Liaise with ODFs, depots, and repairers to confirm bookings.
- Monitor Vehicle Outside Repair (VOR) days to ensure cost efficiency.
- Maintain strong relationships with cover network providers and suppliers.
Compliance & Reporting
- Ensure all service documents meet legal requirements.
- Track repair costs and maintain accurate records.
- Generate and analyse service history, MOT, and performance data.
Operational Support
- Assist with payment processing and invoice management.
- Provide general administrative support to key teams as needed.
- Support road collision and maintenance control processes.
Requirements
Skills & Competencies
- Exceptional organisation, analytical, and problem-solving skills.
- Ability to work collaboratively in a fast-paced team environment.
- Fluent IT skills (experience with Microsoft Office or Google Workspace).
- "Can Do" attitude—proactive, detail-oriented, and highly motivated.
