At Medify, we’re on a mission to widen access to medicine and healthcare careers. Every year, we support thousands of students through high-stakes admissions tests by creating exceptional educational content and digital learning products. As we continue to grow, we’re looking for a Learning Operations & Project Manager to help scale our content operations and ensure our learning products are delivered efficiently, consistently, and to the highest quality standards.

🎯 The Role

Reporting to the Learning Manager, the Learning Operations & Project Manager is instrumental in optimising our content production workflows, tracking progress, and driving forward editorial and educational projects.

This role sits at the intersection of operational excellence and educational impact. You’ll work closely with editors, subject matter experts, product managers and developers to ensure our digital learning products are delivered on time, to specification, and with the highest quality standards. Alongside overseeing project delivery, you’ll identify smarter ways of working, introduce automation and AI-powered solutions, and continuously improve how the Learning Team operates.

🚀 Key Responsibilities

  • Manage end-to-end project lifecycles, from scoping through to delivery, ensuring alignment with timelines, quality benchmarks and stakeholder expectations.
  • Develop and maintain scalable production workflows that support continuous content updates and new product releases.
  • Support and champion the integration of technology, including AI tools and automation, into editorial and production workflows.
  • Collaborate cross-functionally with content editors, subject matter experts, product managers and developers to streamline delivery processes.
  • Coordinate the operational planning and execution of key Learning Team projects, providing clear progress tracking and reporting to the Learning Manager.
  • Identify and implement process improvements that optimise content operations, reduce inefficiencies and increase throughput.
  • Maintain and continuously improve internal knowledge management systems, strengthening documentation, knowledge sharing and onboarding practices.
  • Supervise the freelance invoicing process and monitor budgets across Learning Team initiatives to support effective resource allocation.

🧠 About You

You’re a highly organised project manager with a passion for improving systems, processes and team efficiency. You enjoy solving operational challenges, working across multiple stakeholders, and using technology to help teams work smarter. You’re equally comfortable coordinating complex projects and identifying opportunities to improve how work gets done.

Essential

  • Minimum 2:1 Bachelor’s degree (or equivalent).
  • Proven experience in editorial or content-focused project management within digital education, publishing or a related field.
  • Strong understanding of content production workflows, automation, tooling and project lifecycle management.
  • Familiarity with digital learning products and asynchronous education models.
  • Experience using project management platforms, particularly Notion.
  • Strong workflow documentation and process optimisation skills.
  • Familiarity with AI tools and how they can enhance editorial and operational efficiency.
  • Demonstrable experience introducing automation to reduce administrative overhead.
  • Experience coordinating stakeholders across distributed, cross-functional teams.
  • Excellent organisational, communication and project management skills.

  • Project Management qualification (e.g. APM PMQ).
  • Coding proficiency (e.g. Python, JavaScript or scripting for workflow automation).
