Leasing Consultant – Job Description

The purpose of the Leasing Consultant is to lease apartments, retain residents through exceptional customer service, and manage administrative and financial responsibilities for their assigned community.


Primary Functions

I. Leasing Responsibilities

  • Ensure leasing procedures are followed daily.
  • Manage availability guidelines and review leasing follow-ups weekly.
  • Welcome prospects with professionalism both over the phone and in-person.
    • Answer all incoming calls and encourage visits to the property.
    • Check voicemessages and follow up promptly.
  • Conduct daily inspections of office, models, common areas, and vacant units to ensure cleanliness and curb appeal:
    • Pick up litter, operate the compactor, vacuum staircases, and tidy units for resident tours.
  • Lease apartments to qualified prospects while minimizing rent loss by optimising move-in scheduling.
  • Tour prospects through apartment homes and amenities, either via golf cart or on foot.
  • Prepare and process lease applications, including:
    • Verifying applications and submitting files for approval.
    • Completing move-in paperwork.
  • Submit weekly traffic/phone recap reports to the Community Director.
  • Follow up with visitors within 24 hours via personal call, and ensure a personal note/email is sent within seven days.
  • Complete additional tasks assigned by the Community Director or Regional Director.

II. General Office/Administrative Responsibilities

  • Conduct and document move-in/move-out inspections, addressing any concerns.
  • Maintain key envelopes and dress code compliance for the Leasing Team.
  • Process resident notices and maintain files.
  • Assist in lease renewal processes, including:
    • Completing printouts, approvals, and phone renewals (starting 75 days prior to lease end).
    • Sending renewal letters for non-responsive residents.
    • Drafting new leases and documenting promises made during renewal.
  • Assemble move-in packages and ensure all filing is up to date.
  • Operate the office alarm system.
  • Deliver comprehensive move-in presentations to new residents.
  • Calculate daily rent, prorated charges, late fees, and commission percentages.
  • Assist in maintenance requests by documenting issues upon receipt.

Qualifications & Special Skills

  • Exceptional communication and customer service skills.
  • Ability to maintain a professional appearance and drive assertive sales.
  • Strong organizational and time-management skills.
  • Must be able to effectively "close" leases.
  • Must pass a drug screening and hold a valid driver’s license.
  • Experience in residents leasing, inventory management, and maintenance integration—preferably with Knock, Onesite, or AIRM systems.

  • Community Director and Assistant Community Director.

Job Classification & Compensation

  • Non-exempt position with legally mandated overtime (paid at a coefficient rate for hours exceeding 40/week).

Work Environment & Physical Demands

  • Regular duties: Typing, standing, walking, climbing, reaching, and stooping.
  • Frequent requirements: Using hands, voice, and hearing; navigating all parts of the property.
  • Must independently lift or maneuver up to 20 lbs.
  • Vision requirements: Close/distance/color/depth perception with adjustable focus.
