Legal Admin Specialist (Conveyancing)

About the Role

Are you highly organised with exceptional attention to detail? Do you thrive in a fast-paced environment and enjoy ensuring everything runs smoothly? If so, join our purpose-built, modern site in the Grove Park area of Leicester as a Legal Assistant / Conveyancing Completions Specialist at the largest Independent Conveyancing and Property Services group in the UK.

As a key member of our Completions Team, you will deliver the final stages of the home-moving process. Your job involves handling critical legal documents, ensuring strict regulatory compliance, and supporting conveyancers to deliver a seamless service. Accuracy and efficiency directly impact our reputation and client experience—so precision is vital.


Key Responsibilities

Document Handling & System Management

  • Sorting and processing incoming and outgoing original client documents
  • Managing files across multiple systems (Visual Files, Outlook, Electronic Post Office) for accurate document tracking
  • Liaising with third-party couriers (e.g., Royal Mail, DX, Parcel Force) to ensure timely deliveries

Regulatory Compliance & Administrative Support

  • Locating and processing key legal documents in line with regulatory requirements
  • Adhering to GDPR standards when communicating with clients and third parties

Client & Stakeholder Relations

  • Proactively chasing third parties via phone and email
  • Managing escalations and complex queries with professionalism
  • Handling evening and weekend cover as needed

Process Improvement & Team Support

  • Assisting with training initiatives and continuous improvement within the team

What We’re Looking For

✔ Strong organisational skills with meticulous attention to detail ✔ Excellent written and verbal communication skills to interact with clients and stakeholders ✔ Ability to prioritise tasks effectively and work under pressure ✔ Confident IT user with proficiency in Microsoft Word, Excel, and Windows ✔ Previous experience in administration or a target-driven environment (preferred) ✔ Desirable: Knowledge of conveyancing processes
