The Division

Our Corporate and Commercial department has a varied mix of work across both the public sector and private clients, predominately in sectors including health, local government, emergency services and social housing. We advise on projects from “cradle to “grave”. We design and structure projects. We advise on operational issues. We advise on termination and expiry issues. We also advise on the full range of disputes that can arise out of procurements including procurement disputes, design and construction disputes, operational disputes particularly in relation to payment disputes and fire safety disputes and termination disputes.

The Role

The Legal Administrator’s principal role is to provide fee-earners with the support they need to provide legal services to clients and help them maximise the amount of time they are able to spend on fee-earning and other essential tasks.

Main Duties and Responsibilities

The main duties of a Legal Administrator will include:

  • Arranging calls, meetings and travel;
  • Coordinating photocopying, printing and scanning;
  • Opening and closing of files, including running conflict checks, obtaining and verifying ID, electronic filing, record keeping and archiving of files;
  • Assisting with drafting and issuing client care documentation;
  • Maintaining compliance records;
  • Acting as a point of contact for internal and external clients;
  • Taking internal and external telephone queries, responding as appropriate and/or ensuring that all messages are passed on in a timely manner;
  • Data entry and managing spreadsheets;
  • Drafting general and basic correspondence as required;
  • Maintaining Capsticks’ electronic file management system in accordance with departmental procedures and ways of working;
  • Billing - working with the finance team to ensure that invoices are raised and issued in a timely manner;
  • Track client payments and Purchase Order numbers;
  • Fee earner expenses;
  • Support seminar/event organisation;
  • Updating and maintaining the internal CRM system;
