The Role

As a Probate Legal Assistant at Octopus Legacy, you’ll be at the heart of our probate team, supporting families through legal and practical steps following a death—ensuring every case is handled smoothly from the first conversation.

You’ll collaborate with Probate Case Managers, learning probate application and estate administration hands-on. While compassionate communication is a must (you’ll speak to bereaved families), no legal background is required—what matters most is your people skills, organisation, and determination to learn.

Demanding at times, this role requires patience, attentional detail, and the ability to stay calm and empathetic when clients are emotional or urgent. Key Responsibilities

  • Handle inbound/outbound calls and customer updates with warmth, building trust in difficult moments.
  • Prepare correspondence, chase details, and process legal forms accurately and on time.
  • Draft and manage documents, co-ordinate busy schedules, and organise case files efficiently and securely.
  • Support Case Managers throughout the entire case lifecycle to ensure seamless execution.
  • Maintain accurate, confidential customer records at all times.
  • Identify process improvements, suggesting resource updates that elevate customer experience.
  • Collaborate across teams to streamline operations and enhance service quality.
