Provide legal administration support to Legal Counsel for the EMEAI region

Commuting to the Bracknell office, Monday to Friday completing a 35-hour a week role.

Education & Experience

  • Some legal administration experience
  • Some commercial contract experience

  • Strong organisation/ administration skills.
  • Good communication skills.
  • Ability to build rapport with local and regional colleagues.
  • Good knowledge of Outlook, Word, PowerPoint, Adobe, DocuSign, and SharePoint.
  • Intermediate experience or higher with Excel including setting up spreadsheets.
  • Accurate data entry and typing skills.
  • Ability to work under pressure.
  • Ability to multitask.

Contract Administration

  • Ensure contract process via contract clearance is completed fully and in a timely manner.
  • Prepare contracts for signature.
  • Ensure contracts are signed and received back within set timeframes/ deadlines.
  • Update and maintain the contracts database.
  • Assist teams (particularly but not limited to new starters) with understanding the contracts process/policy.
  • Assist teams with routine contract enquiries.

Company Secretary

  • Prepare agendas, collate information for meetings, and ensure timely distribution of “board packs” to the relevant boards.
  • Prepare minutes for review by legal counsel, follow-up actions, and maintain action logs.
  • Prepare written resolutions for review by legal counsel.
  • Manage board calendar.
  • With the support of outside counsel (as required), maintain/update company registers, assist with routine company filings in line with statutory requirements and local regulations, and assist legal counsel with the process of appointments and resignations of board members within the EMEAI region.
  • File and maintain hard/soft copies (as applicable) of all company and department documentation.
  • Assist completion of KYC documentation requests.
  • Manage annual training via training portals.

General Administration

  • General administrative support for legal counsel (scanning, filing, post, etc.) as required.
  • Manage the ‘legal counsel’ generic mailbox.

Drafting Standard Documents

  • Preparation of initial draft of ‘standard’ contracts and legal documents using pre-approved company templates, such as power of attorneys, letters of authorisation, non-disclosure agreements, supply agreements, distribution and/or sales representative agreements, consultancy agreements, sales rebate agreements, addendums, schedules, and amendments.

Notarial Services

  • Organise all notary services.
  • Arrange legalisation of documents (including with foreign embassies where required).

Data Protection

  • Assist in projects relating to GDPR.
  • Maintain/update Data Security Breach Register, Subject Access Register, and Repository.
