LEGAL PERSONAL ASSISTANT – REAL ESTATE
Location: Manchester

OVERVIEW
Our client is seeking an experienced Legal Personal Assistant to provide high-quality, proactive support to a team of partners and fee earners within its Real Estate practice.
This is a varied and responsible position suited to a highly organised legal support professional who can manage competing priorities, build strong internal relationships and deliver an exceptional level of service in a fast-paced professional environment.
The successful candidate will play an important role in supporting financial performance, matter administration, business development activity, diary management, client service, and the efficient day-to-day operation of the team.
RESPONSIBILITIES
- Provide proactive and comprehensive PA support to partners and fee earners within the Real Estate team.
- Work collaboratively with finance teams to support billing, financial reporting, matter balances, working capital, and overall fee-earner performance.
- Assist with the preparation and processing of client bills and monitor outstanding balances, work in progress, and matter-related financial information.
- Support business development activity, including the organisation of events and conferences, CRM administration, and the preparation or updating of fee-earner profiles and credentials.
- Assist with bids, tenders, pitches, and other business development initiatives.
- Support client relationship activity by coordinating meetings, events, and regular client reports where required.
- Manage matter-opening and matter-administration processes, including rates, engagement letters, matter specifications, and internal approvals.
- Complete conflict-checking, client due diligence, and client or matter inception procedures accurately and in line with applicable policies.
- Maintain accurate files and records, identify matters ready for closure, and coordinate the clearance of balances, work in progress, and archiving requirements.
- Provide comprehensive diary management, forward planning, and meeting coordination.
- Arrange domestic and international travel, identifying practical and cost-effective options.
- Proactively identify and resolve diary conflicts where appropriate.
- Prepare meeting materials, itineraries, room bookings, hospitality arrangements, and supporting documentation.
- Coordinate administrative tasks through the relevant internal support teams and take ownership of their accurate and timely completion.
- Delegate appropriate document-production work, including pitches, tenders, legal document amendments, document conversions, and transcripts.
- Maintain a strong level of technical competence and proactively address any knowledge gaps.
- Comply with all applicable risk, compliance, and confidentiality policies.
- Escalate risk or compliance concerns promptly to the appropriate partner or internal team.
- Complete all mandatory training and required internal returns within agreed timescales.

REQUIREMENTS
- At least three years’ experience, or equivalent, in a comparable legal, professional-services, or corporate environment.
- Previous experience supporting partners, senior professionals, or fee earners is highly desirable.
- Strong verbal and written communication skills, with excellent grammar, spelling, and attention to detail.
- Advanced organisational skills and the ability to manage multiple deadlines and changing priorities.
- A high level of competence across Microsoft Office applications.
- Demonstrable experience of delivering exceptional internal and external client service.
- Experience working accurately and efficiently in a fast-paced office environment.
- Confidence working independently while contributing effectively as part of a wider team.
- A proactive, flexible, and solutions-focused approach.
- Strong judgement, discretion, and professionalism when handling confidential information.
- A commitment to achieving high standards and exceeding expectations.
