Legal Secretary – Experienced Role

We are seeking an experienced Legal Secretary to join our team. The post-holder will provide comprehensive secretarial and administrative support to fee earners across multiple practice areas, ensuring excellent client care and efficient case progression.

You will join a supportive firm and contribute to delivering a professional service while participating in ongoing improvements to processes and document management.


Key Responsibilities

  • Secretarial Support: Provide high-quality secretarial support to fee earners, including:

    • Drafting and formatting letters, emails, bundles, court forms, and standard documents
    • Ensuring documents are accurate, professionally presented and issued within required timescales
  • Diary and Appointment Management:

    • Manage fee earners’ diaries and appointments
    • Co-ordinate meetings, client conferences (in-person and virtual), and travel arrangements
    • Prioritise and re-schedule tasks as necessary to meet client and internal deadlines

  • Case and Document Management:

    • Maintain and update case management and electronic document management systems
    • Open and close files, ensure accurate file notes, and index correspondence
  • Litigation Support:

    • Prepare court bundles, witness statements, and litigation documents with correct pagination and indexing
    • Ensure compliance with court rules and internal guidance
    • Assist with filing and document service where required
  • Billing and Time Recording:

    • Prepare timesheets to support fee earners’ time recording accuracy
    • Chase outstanding entries as needed
    • Prepare client correspondence and basic completion statements
  • Client and Internal Liaison:

    • Liaise with clients, counsel, courts, third parties, and internal colleagues
    • Provide timely updates and handle telephone and reception enquiries professionally

Key Skills and Experience

  • Prior Experience: Proven experience as a legal secretary or senior legal administrator within a law firm or legal environment
  • Practice Area Support: Experience supporting solicitors or fee earners across practice areas such as:
    • Residential property
    • Private client
    • Litigation (or similar)

  • Communication Skills:

    • Strong written and verbal communication
    • High attention to detail and accuracy in drafting and document preparation
  • Technical Competency:

    • Confident user of case management systems, electronic document management, and Microsoft Office (Word, Outlook, Excel)
    • Willingness to adopt new systems or document automation tools
  • Organisational Ability:

    • Highly organised with the ability to prioritise tasks
    • Excellent at managing multiple responsibilities and meeting tight deadlines
  • Additional Desirable Experience:

    • Experience in preparing court bundles, forms, and filing procedures
    • Knowledge of billing processes and time recording
  • Interpersonal Skills:

    • Ability to collapse well in a team and communicate confidently with clients, counsel, and external organisations
