Legal Secretary/Administrator
Location: Marlborough, Wiltshire
Salary: £25,000–£32,000
Our client is a prestigious specialist law firm based in Marlborough, known for its high standards, client-focused service, and collaborative working environment. They are now seeking a capable and organised Administrator to support the smooth day-to-day running of the office and provide both administrative and legal secretarial support to the legal team.
Key Requirements
Education & Experience
- Minimum GCSE English and Mathematics (or equivalent)
- Previous experience in office administration or legal secretarial support, ideally within a law firm or professional services environment
Skills & Attributes
- Strong organisational skills with the ability to multi-task and manage time effectively
- High attention to detail, strong proofreading skills, and accurate document production
- Confident using Microsoft Office, digital dictation, and able to learn new systems quickly, including case or practice management software
- Professional, discreet, and approachable with strong communication skills
- Works well under pressure and adapts to changing priorities
- Positive, proactive, and a team player

Role & Responsibilities
General Office Support
- Answer calls, manage shared inboxes, schedule meetings, and maintain office calendars
- File, scan, copy, and prepare routine documents, letters, and correspondence
- Monitor supplies and liaise with service providers
Legal Secretarial Support
- Provide day-to-day secretarial support to fee earners, including diary management, appointments, meetings, and key deadlines
- Prepare, format, proofread, and amend correspondence, forms, and legal documents, including work from templates or digital dictation
- Produce document bundles and client packs, arrange signatures, and ensure papers are filed and circulated correctly
- Liaise professionally with clients, counsel, courts, and other third parties, taking accurate messages and progressing routine queries
- Assist with time recording, billing, expenses, and other matter-related administration

File & Data Management
- Open, maintain, and close client files and keep the Practice Management System up to date
- Maintain accurate, GDPR-compliant records and complete conflict, identification, and file-opening checks as required
Team & Client Support
- Provide flexible administrative cover across the team during busy periods and colleague absence
- Greet clients, prepare meeting rooms, and assist with office hospitality
Conduct & Compliance
- Handle all client information and documentation with strict confidentiality
- Uphold the firm’s professional standards and follow internal procedures
