Legal Secretary – Charities (9 Month FTC)

Wedlake Bell is seeking a Legal Secretary to join our team, covering the Charities practice and supporting the Employment team. This is a full-time, fixed-term (maternity cover) role for 9 months, with the expectation of 3 days in-office per week.

About the Role

Primarily based within our Charities team, this role also involves supporting the Employment team. We advise a broad spectrum of organisations, from large charities and social enterprises to corporate foundations, on matters ranging from governance and structuring to complex regulatory compliance (domestic and international).

As a Legal Secretary, your role will ensure the team runs efficiently by handling key tasks such as:

  • Preparing legal documents
  • Managing client files
  • Supporting fee earners with diary and correspondence management
  • Administering business travel and client liaison

This position is ideal for an experienced Legal Secretary who excels under deadlines and prioritises team support. We seek candidates with at least four years of legal secretary experience in a fast-paced law firm, preferably in commercial sectors such as employment or private client law.

Key Responsibilities

  • Assist in drafting and managing legal documents, BD materials, presentations, and correspondence (Charities/Employment).
  • Handle diary and calendar management for fee earners, including scheduling in-person/video meetings (via MS Teams).
  • Complete ad-hoc tasks via BigHand promptly under tight deadlines.
  • Coordinate UK/EU travel arrangements.
  • Support client and stakeholder communication, including administrative and case-related queries.
  • Maintain iManage files for easy information retrieval and accessibility.
  • Liaise with the AML team to open new matters while collecting client documents.
  • Support business development activities, including CRM/InterAction updates.
  • Coordinate billing and invoicing via 3E Elite, liaising with the Accounts department.
  • Ensure strict confidentiality in handling sensitive information.
  • Undertake miscellaneous ad-hoc duties as required.

Skills and Qualifications

  • Minimum of 4 years’ experience as a Legal Secretary in a fast-paced law firm (preferably commercial or private client).
  • Proven organisational skills to prioritise tasks efficiently under tight deadlines.
  • Exceptional typist with strong written English/grammar.
  • Excellent communication skills—client-focused and professionally flexible.
  • Proficiency in Microsoft Office Suite. Familiarity with legal tech:
    • iManage (file management)
    • 3E Elite (billing)
    • InterAction (CRM)
    • BigHand (task management)
  • Sharp attention to detail; commitment to accuracy and discretion.
  • Ability to collaborate effectively within a team.
  • Confidentiality in handling sensitive, private information.
