About the Role
To deliver the best outcomes for our clients with a commercial edge, we are seeking an effective and efficient Legal Support Executive to support our Family team.
Responsible for a wide range of non-chargeable administrative tasks and client liaison, this role demands exceptional organisation and a high standard of service.
This is an excellent opportunity for emerging legal professionals to grow and develop within a progressive team.
Key Responsibilities
Financial Management
- Process bills, including preparation of billing guides and disbursements.
- Authorise financial write-offs under departmental Head of Department (HoD) instruction.
- Manage and maintain client balances in compliance with SRA (Solicitors Regulation Authority) regulations.
- Collaborate with file handlers on debt recovery initiatives.
- Facilitate digital bank payments according to firm and SRA regulations.
- Coordinate expenses re-charging across appropriate areas (e.g., matter costs, client entertainment), subject to HoD approval.
Workflow & Administrative Tasks
- Handle new client and matter onboarding, adhering to AML (Anti-Money Laundering) and KYC (Know Your Customer) procedures, and opening records.
- Produce legal documents, correspondence, and agreements via digital dictation and copy typing.
- Format large contracts, amendments, comparisons, and conversions.
- Draft commercial correspondence, file destroy obsolete documents, and apply accurate filing systems (both digital and physical).
- Lodge legal paperwork via third-party portals (e.g., CE-Filing) within deadlines and timeframes.
- Maintain seamless electronic and hard-copy filing systems.
- Liaise with counsel and their clerks as required.
- Prepare court bundles punctually, ensuring organisational compliance, and coordinate with legal authorities if necessary.
- Process incoming post (digital and manual) and allocate timely distribution.
- Handle outgoing correspondence (including Royal Mail, Special Deliveries, and Air Mail).

Compliance & File Management
- Monitor risk management obligations related to file handling (e.g., verifying KYC/engagement checks).
- Ensure file handlers uphold firm and SRA compliance standards, including:
- Properly signed engagement letters.
- Regular file reviews.
- Tracking file inactivity, WIP (Work in Progress), and closure avenues.
- Proper archival during file closure.
Operational Support
- Manage and schedule solicitors’ diaries, setting appointments, allocating meetings, and recording deadlines.
- Organise and coordinate meetings, including:
- Room bookings.
- AV requirements.
- Catering arrangements.
- Handle travel bookings for file handlers.
- Act as a liaison between clients (telephone, email, in-person) and other departments (IT, Marketing).
- Bridge communication between central departments (e.g., IT, Solution Delivery, Marketing) and the Legal Department.
- Assist with event coordination, particularly internal and external client engagements aligned with Marketing strategies.

Skills, Knowledge & Expertise
Required:
- 3+ years’ experience supporting legal professionals in a fast-paced corporate environment.
- Proficiency in:
- Microsoft 365 suite.
- CMS systems (Case Management Software).
- Collaborative platforms (e.g., Microsoft Teams).
- Fast, accurate typing ability.
- Strong organisational skills (both proactive and reactive).
- Exceptional attention to detail, vital for proofreading, error prevention, and legal compliance.
- Familiarity with:
- Legal services terminology.
- Court procedures.
- Legal documentation standards.
- Excellent written and verbal communication for stakeholder engagements.
- Professional client and third-party interaction with courtesy, discretion, and confidentiality.
- Ability to maintain calm under pressure.
- Strong time management and prioritisation skills, ensuring all duties are high-quality and deadlines met.
