An exciting opportunity has arisen for a Legal Support Officer to join our Legal Business Support Team at Hampshire County Council.

The Role:

Ideally with a business support background, you will be organized and an effective communicator with experience of, or desire to work within a fast-paced environment. This is a fantastic opportunity to develop your career in a legal setting - no prior legal experience is required, just a passion for organization, accuracy, and supporting others.

You will have a willingness to undertake appropriate training where relevant.

Working for Hampshire Legal Services (HLS) as part of the Business Support Team you will provide a comprehensive range of support to the individual lawyers who advise Hampshire County Council departments and its external clients. You will also provide support to our Business Development Manager and the Legal Practice Manager. We are rapidly expanding taking on more work, that is why we are seeking someone to assist the work of the Business Support Team.

You will primarily assist the work of the Practice Support Team, which consists of support to the legal case management system, external client invoicing, contracts work and support in maintaining our paper legal case archive.

One of our main objectives is to reorganize our deed safe and provide file maintenance in our other archive rooms. You will arrange for the destruction of legal case files which have passed their retention, transfer files to records management, and complete other projects as we move towards LGR.

This is a hybrid role where you will be expected to attend the office in Winchester full-time whilst training is completed to learn the in-office tasks. Once completed, you will be expected to attend the office 40% of the week.

What you’ll do:

  • Provide comprehensive administrative support to solicitors and legal officers
  • Manage legal documentation, correspondence, and case files
  • Work on subject matters of a sensitive nature
  • Use digital systems to maintain accurate records and track case progress
  • Coordinate enquiries to the service, manage a complex workload and meet critical deadlines
  • Support other team members and contribute to service improvements
  • Create and distribute court bundles and handle confidential information from third parties
  • Sort and scan daily post and arrange signing and sealing of legal documents
  • Handle land registry searches
  • Records management and handle deeds
  • Systems administration and provide support to the service
  • Organise training/manage IT equipment
  • Contracts Letting support

What we’re looking for:

  • A-level standard or equivalent
  • Approachable with excellent communication and interpersonal skills
  • Able to follow routines, guidelines, and set procedures
  • Able to work without constant supervision and seek guidance from appropriate contacts when required
  • Excellent attention to detail
  • Excellent time management skills and able to work to strict deadlines
  • Ability to understand the requirements of working with confidential information and the confidence to process and handle the information in line with corporate standards relating to data protection
  • Good IT knowledge, including Outlook, Microsoft Word, and Excel
  • Must be prepared to work flexibly to achieve set business objectives
  • Establish good working relationships with people at all levels
  • Good commitment to customer care and continuous improvement
  • Willingness to undertake appropriate training where relevant
