Internal Contacts in this role are included but not limited to central lettings and sales teams, operational teams, portfolio managers, central marketing team, Harrogate & Liverpool central office teams.

External Contacts in this role are included but not limited to residents and prospective tenants, event guests, local letting agents, international booking agents, visitors, third party suppliers, contractors & clients.

Purpose of the Role:

The Lettings Advisor plays a vital role in ensuring properties are let efficiently, residents are supported throughout their journey, and landlords receive a professional and reliable service. The purpose of this role is to deliver a seamless end-to-end lettings experience, from marketing and viewings through to tenancy management and move out, while safeguarding compliance, maintaining property standards, and maximising occupancy. This is a field-based position requiring regular travel between properties, combined with administrative responsibilities to keep systems, contracts, and compliance records up to date. The role exists to provide proactive property management, strong customer engagement, and responsive problem-solving in a fast-paced environment, ensuring both tenant satisfaction and landlord confidence. Travel & own car is essential, and candidates must live within a commutable distance.

Main Duties:

  • Maintain an understanding of competitor rental levels and hold expert knowledge of each property’s offering within the local marketplace.
  • Book and conduct viewings, both virtually and in person, capture feedback, and guide tenants through the contract-signing process.
  • Manage tenancy takeovers and secure annual renewals.
  • Ensure all compliance documents (e.g., How to Rent guide, EPC, Gas and Electrical certificates) are issued at the correct stage.
  • Take ownership of ongoing property management once tenants move in, including conducting periodic inspections, identifying maintenance issues, responding to tenant concerns, and escalating repairs promptly to protect property value and ensure safety compliance.
  • Monitor rent arrears, chase payments professionally, escalate persistent cases, and ensure all communication is logged accurately in the system.
  • Manage move-in and move-out processes, including inventories, safety checks, deposit returns, and tenant handovers, to deliver a seamless tenant experience.
  • Manage property listings with accurate details and a professional presentation, in collaboration with the Marketing Team.
  • Demonstrate strong customer engagement skills, with the ability to build rapport, handle objections, and communicate clearly and courteously at every stage.
  • Report directly to your line manager while maintaining accurate records of all activity, KPIs, and tenancy progression.

Essential Skills & Experience:

  • Fluent English communication: Strong spoken and written English, with excellent comprehension and professional communication skills.
  • Local knowledge: Street level awareness of the area, including rental values, competitor offerings, and neighbourhoods, with the ability to use this knowledge to add value in conversations and secure lets.
  • Legislation expertise: Strong understanding of lettings legislation and HMO compliance requirements.
  • Organisation and time management: Excellent ability to prioritise tasks, manage deadlines, and maintain accurate records.
  • Interpersonal skills: Confident in dealing effectively with people at all levels, building rapport and trust quickly.
  • Driving requirement: Must have a valid driving license and own car.

Desirable Skills:

  • Industry experience: Proven experience in the lettings industry (preferred).
  • Professional qualification: ARLA Level 3 qualification desirable but not essential.
